Job description

As a Case Support Administrator, you will provide essential administrative support to our Case Coordination team, helping to ensure the efficient and accurate progression of medico-legal cases.

Working closely with our Case Coordinators, medical experts and other internal departments, you will assist with the day-to-day administration of cases and reports, including setting up new instructions, processing and organising documentation, maintaining accurate case records and supporting communications with clients and experts.

This role would suit someone who is highly organised, has excellent attention to detail and enjoys working in a busy administrative environment. Previous medico-legal experience is not essential, as full training will be provided.

Core Responsibilities:

  • Providing day-to-day administrative support to the Case Coordination team, along with other departments where required.
  • Setting up new cases and instructions accurately on the company system - ALLDOQ.
  • Uploading supporting documentation to ALLDOQ where required.
  • Organising case documentation in preparation for expert review.
  • Extracting and collating relevant documents and information as directed by Case Coordinators and medical experts.
  • Maintaining accurate and up-to-date case files and records.
  • Assisting Case Coordinators with the preparation of cases throughout their lifecycle.
  • Monitoring shared inboxes and ensuring correspondence is directed to the appropriate colleague promptly.
  • Corresponding professionally with clients, medical experts and other stakeholders by email and telephone where required.
  • Supporting the team with diary management, appointments and key case dates where required.
  • Undertaking general administrative duties not specifically relating to case coordination.
  • Handling sensitive medical and legal information securely and confidentially at all times.
  • Adhering to UK GDPR, data protection requirements and company information security procedures.

Requirements

  • Previous experience within an administrative, office-based or customer service role.
  • Excellent organisational and time-management skills.
  • Strong attention to detail and a commitment to accuracy.
  • The ability to manage multiple tasks and changing priorities effectively.
  • Strong written and verbal communication skills, with a professional and courteous manner.
  • Excellent communication and interpersonal skills, both written and verbal, with a professional and courteous manner.
  • Confidence communicating with clients and colleagues by telephone and email.
  • Good IT skills, including experience using Microsoft Word, Excel, Outlook and Teams.
  • The ability to learn new systems and processes quickly. Full training will be provided on ALLDOQ - the company system.
  • The ability to handle sensitive and confidential information appropriately.
  • An understanding of data protection and confidentiality requirements.
  • The ability to work effectively both independently and as part of a team.
  • A proactive and positive approach to work, with a willingness to support colleagues where required.
  • The ability to work accurately to deadlines within a busy environment.

Experience and Qualifications:

  • Experience within a legal, medical or professional services environment would be advantageous but not essential.
  • Knowledge of medical or legal terminology would also be beneficial, although full training will be provided.
