Job description

Summary: The Support Service 1 is under a supervisor but must make independent decisions in their area of responsibility based on department rules and procedures. Provide daily assistance on all aspects of the departmental operation. Answer telephones, take and distribute messages, give information to callers. Distribute service calls and work orders. Collect, open and distribute mail. Process and enter information into files or databases. Gives information to callers and “walk-ins” and routes them to appropriate contact.

  • Maintain all records required for the daily operation of the employees and operation of the area assigned
  • May also have to rotate among various barn locations to support field employees
  • Utilize MUNIS system for procurement and work orders
  • Assist employees with time entry into MUNIS ESS
  • Create work orders
  • Communicate public needs with Area Forman, Group Leaders, and Administration
  • Answer telephones, take and distribute messages, give information to callers. Distribute service calls and work orders
  • Collect, open and distribute mail
  • Process and enter information into files or databases
  • Gives information to callers and “walk-ins” and routes them to appropriate contact
  • Schedule appointments and arrange meetings for departmental personnel
  • Hand delivers deposits, packets or items to designated offices and other office related errands
  • Relieves officials of clerical works and monitors administrative and business details
  • Routes incoming and outgoing mail. May need to scan, fax or email various documents
  • Composes and types routine correspondence and other records, including public records requests. May compile and type statistical reports
  • Handles office machine operations and maintenance
  • Prepares and reviews routine correspondence, may include PO’s and addresses public input to department
  • Establish and maintain filing systems (paper and electronic). This may include updating data bases, department files and inventory control for paper files
  • Oversee shipping and receiving; handles requisitions for supply ordering
  • Receive deposits/payments from other departments or customers and verify cash; may deposit funds
  • May keep personnel records. May record minutes of staff meetings.
  • Regular, consistent attendance is required
  • Any other duties as assigned

Requirements

Competencies: Employee must be able to operate basic office equipment, office computer and software, and any other specialty equipment needed for the position. Employee must have excellent organizational and time management skills. Employee must possess oral and written communication skills. Must be able to work independently and with others, be able to work effectively with the public, and be able to prioritize work.

Work Environment: The incumbent works in a typical office environment with little or no exposure to unpleasant environmental conditions or hazards. Primary functions are limited to an office environment. Occasional duties may require travel or working in non-office environment.

Physical Demands: Sedentary work. Sedentary work involves lifting no more than 10 pounds at a time and occasionally lifting or carrying articles like docket files, ledgers, and small tools. Although a sedentary job is defined as one which involves sitting, a certain amount of walking and standing is often necessary in carrying out job duties. Jobs are sedentary if walking and standing are required occasionally and other sedentary criteria are met.

Required Education/Qualifications: High School diploma or equivalent GED.
