Job description

We are seeking a highly organized, proactive, and detail-oriented Operations & Administrative Coordinator to support the daily operations of our growing healthcare organization. This is an excellent opportunity for someone who enjoys wearing multiple hats, solving problems, improving processes, and contributing to both patient and team success.

The ideal candidate is a self-starter who thrives in a fast-paced environment, has strong organizational skills, and enjoys collaborating across departments to keep operations running smoothly.

What You’ll Do:

Administrative & Financial Support

  • Assist with administrative and operational projects across multiple departments
  • Support invoice processing, expense tracking, reimbursements, and documentation
  • Coordinate financial and operational records while ensuring accuracy and organization
  • Help maintain efficient workflows and support leadership initiatives

Operations & Facilities Coordination

  • Help oversee facility operations, maintenance, repairs, and vendor services
  • Coordinate projects that enhance clinic appearance, functionality, and efficiency
  • Ensure a professional, welcoming, and safe environment for patients and staff
  • Monitor completion of service requests and operational priorities

Employee Onboarding & Team Support

  • Assist with onboarding new team members and maintaining personnel documentation
  • Coordinate system access, equipment setup, and orientation activities
  • Support employee training and organizational initiatives
  • Serve as a resource for operational questions and day-to-day support

Compliance & Safety

  • Assist with workplace safety programs, training coordination, and compliance initiatives
  • Support regulatory requirements and operational readiness activities
  • Help maintain emergency preparedness and safety standards

Inventory & Supply Management

  • Coordinate purchasing and inventory management for clinical and office supplies
  • Monitor supply levels and ensure departments have the resources they need
  • Identify opportunities to improve efficiency and control costs

Patient Experience & Program Support

  • Assist with patient concerns and help ensure timely follow-up and resolution
  • Support special programs, patient engagement initiatives, and operational tracking
  • Collaborate with clinical and administrative teams to deliver exceptional service

Event & Project Coordination

  • Assist with planning and executing community events, educational programs, and internal initiatives
  • Coordinate logistics, scheduling, vendor communication, and project follow-up
  • Support meetings, agendas, action items, and organizational communications

Requirements

Do you have experience in Project management in healthcare?, Do you have a Bachelor’s degree?, * 2+ years of administrative, operations, healthcare, office management, or related experience preferred

  • Strong organizational skills with the ability to manage multiple priorities
  • Excellent communication and interpersonal skills
  • Proficiency with Microsoft Office and business software systems
  • Ability to work independently while collaborating effectively with a team
  • Experience in healthcare, medical offices, or multi-department organizations is a plus, * health care operations: 2 years (Preferred)
