Junk Your Car is a growing vehicle-buying and auto-recycling business focused on making it simple for customers to sell unwanted, damaged, or end-of-life vehicles. We are looking for a highly organized, resourceful Administrative Operations Coordinator to help build the internal systems, structure, and day-to-day organization needed to scale.
This is not a passive receptionist role. You will help create order from moving pieces: organizing leads, managing paperwork, building operating procedures, keeping follow-ups on track, improving internal communication, and making sure nothing falls through the cracks., * Build and maintain organized systems for leads, vehicle purchases, towing, title paperwork, payments, customer communications, and vendor records.
- Keep the CRM accurate and ensure every lead has a clear status, owner, next step, and follow-up date.
- Create and document standard operating procedures for key workflows, including:
- New lead intake and qualification
- Vehicle photo and VIN collection
- Offer approval and customer follow-up
- Title and ownership-document review
- Towing dispatch and pickup coordination
- Payment confirmation and deal completion
- Post-purchase customer communication
- Help organize shared drives, folders, spreadsheets, contracts, title documents, invoices, towing records, and vendor information.
- Track pending deals and proactively follow up with customers, tow drivers, title companies, salvage yards, and internal team members.
- Coordinate towing and pickup schedules; confirm addresses, vehicle condition, keys, titles, customer availability, and payment requirements.
- Monitor inbound calls, texts, website leads, and CRM activity to ensure fast responses and proper routing.
- Assist with recruiting, onboarding, and organizing administrative or sales support staff as the business expands.
- Maintain dashboards and simple reports on lead volume, contact rate, offers sent, vehicles purchased, pending titles, canceled deals, towing status, and operational bottlenecks.
- Identify recurring problems and recommend practical fixes to improve speed, accuracy, and customer experience.
- Support leadership with calendar management, meeting notes, task tracking, vendor coordination, and special projects.
- Help ensure communications and records are professional, organized, and compliant with company policies.
What Success Looks Like
Within the first 60-90 days, this person should help create a more organized and repeatable operating environment, including:
- A clean CRM with clear lead stages and follow-up ownership.
- Centralized folders and records for every vehicle transaction.
- Written procedures for the core customer-to-pickup workflow.
- A daily tracker for pending purchases, titles, tows, payments, and unresolved issues.
- Fewer missed follow-ups, fewer incomplete files, and faster movement from lead to completed vehicle pickup.
- A leadership dashboard showing where deals are getting stuck and what needs attention.
Requirements
Do you have experience in Texting/chatbox tools?, The right person is proactive, detail-oriented, comfortable with technology, and able to take an idea or messy process and turn it into a clear system., * 2+ years of administrative, operations, project coordination, dispatch, customer service, or office-management experience.
- Strong organizational skills and obsessive attention to detail.
- Comfortable using Google Workspace, spreadsheets, CRMs, task-management tools, texting platforms, and shared drives.
- Ability to create structure independently rather than waiting for step-by-step direction.
- Strong written and verbal communication skills.
- Ability to manage multiple moving priorities in a fast-paced environment.
- Professional, dependable, solutions-oriented, and comfortable following up firmly but respectfully.
- Experience in automotive, towing, salvage, logistics, title processing, dispatch, or lead-based sales is a major plus.
