Job description

The Business Support Coordinator provides comprehensive administrative and logistical support across multiple functions, ensuring smooth operations and enabling teams to focus on strategic priorities. This role combines general administration, logistics management, programme support, and IT/system administration to deliver efficient and high-quality service to internal stakeholders., 1. Logistics & Administration

  • Manage printing, shipping, and distribution of materials, including exhibition and event materials.
  • Coordinate orders and deliveries via platforms such as Amazon Books.
  1. IT Administration
  • Handle IT administration tasks to maintain systems and ensure compliance, including user management, license tracking, reporting and adherence to Cyber Essentials standards.
  • Manage company phones, laptops, and system access via the IT support provider, including handling new requests and equipment refreshes.
  • Act as the Empower system super user, supporting colleagues in its use and ensuring data integrity.
  1. Onboarding / Offboarding
  • Assist Line Managers with colleague onboarding and offboarding, following standard processes to ensure consistency and compliance.
  1. Reporting
  • Support the Reporting & Systems Improvement Lead with Global and EU BD / Operations Reporting on a monthly basis, ensuring accuracy and timely delivery to stakeholders.
  1. Marketing and Events Administration
  • Support the coordination and administration of marketing activities, including assisting with campaign logistics, social media scheduling, and maintaining marketing databases
  • Support the co-ordination of event logistics and registrations, including through an online portal
  1. General Administrative Support - as required
  • Ensure smooth day-to-day office operations and assist with ad hoc tasks as required.
  • Manage logistics for internal conferences and meetings, including travel arrangements, accommodation, meeting room bookings, and general event coordination.
  1. Programme & Account Support - as required
  • Provide administrative support to key and complex accounts, including booking meetings, scheduling, and updating Vantagepoint or other systems.
  • Assist with programme logistics and coordination as required.

Requirements

Do you have experience in Organizational skills?, * Proven experience in administration, logistics, or office support.

  • Strong organizational skills and ability to manage multiple tasks simultaneously.
  • Excellent communication skills and ability to interact with stakeholders at all levels.
  • Experience coordinating events, meetings, or conferences.
  • Comfortable with basic IT administration and learning system tools such as Empower and Vantagepoint.
  • Attention to detail and accuracy in all administrative and logistical tasks.
