Job description

We are seeking a dynamic and highly organized Business Support Manager to oversee and streamline the administrative functions that keep our operations running smoothly. This vital role involves managing office workflows, supporting team members, and ensuring excellent customer service. As a Business Support Manager, you will be the backbone of our administrative team, driving productivity and fostering a positive, professional atmosphere., * Oversee daily office operations, including front desk management and multi-line phone systems to ensure seamless communication.

  • Manage calendar scheduling, appointments, and meetings for leadership and team members with precision and attention to detail.
  • Handle data entry, filing, and document proofreading to maintain accurate records and support administrative processes.
  • Provide exceptional customer support by addressing inquiries via phone or email promptly and professionally.
  • Coordinate office management tasks such as supply ordering, equipment maintenance, and space organization to optimize workflow.
  • Support bookkeeping activities using QuickBooks or similar accounting software to assist with invoicing, expense tracking, and financial reporting.
  • Maintain office systems using Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools for efficient document creation and collaboration.
  • Assist with clerical duties including typing reports, preparing correspondence, and managing incoming/outgoing mail.
  • Facilitate onboarding of new staff members by organizing training schedules and ensuring all necessary resources are available.
  • Support special projects such as event planning or process improvements to enhance overall office productivity.
  • Uphold professional phone etiquette at all times while managing multi-line phone systems with confidence.
  • Demonstrate bilingual communication skills when necessary to serve diverse client or staff needs effectively.

Requirements

Do you have experience in Microsoft Office?, * Proven experience in office management or administrative support roles with a strong background in clerical tasks and customer service.

  • Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, QuickBooks, and data entry tools.
  • Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
  • Exceptional communication skills including phone etiquette and interpersonal abilities; bilingual skills are highly valued.
  • Experience with front desk operations, multi-line phone systems, calendar management, and office equipment maintenance.
  • Knowledge of bookkeeping practices including invoicing, expense tracking, and basic financial reporting is preferred.
  • Ability to proofread documents accurately while maintaining attention to detail.
  • Previous experience in medical or dental receptionist roles or personal assistant positions is advantageous but not required.
  • Demonstrated time management skills with the ability to handle multiple responsibilities simultaneously while meeting deadlines.
