The Recipe To provide executive support to the IT Director and SLT, ensure the administration of the IT environment and technology infrastructure operates smoothly and identify and address user support needs, as appropriate. Key Accountabilities and Measures
- Provide functional role of Executive Secretary to the IT Director and IT SLT. Serve as the first point of contact for the IT Director including diary management. Additionally, provide comprehensive administrative support for the entire IT function, managing travel and accommodation and the procurement of goods and services.
- To coordinate IT Training with internal (e.g. Site Specialists) and external (e.g. Happy Computers) resources. Keeping system records up to date and producing reports. Support IT Training and Change Manager to continuously improve IT skills and awareness across the business e.g. Top Tips.
- Help to manage the Site Specialists Network by highlighting gaps and proactively ensuring that these are filled by coordinating actions around recruitment and onboarding with appropriate IT team members and site contacts. Assist in the set-up of Site Specialists conferences and liaise with those involved to ensure that they are delivered effectively.
- Contribute to IT projects providing subject matter expert input (e.g. purchasing) to ensure solutions meet business needs.
- Support the roll out of IT changes and where relevant by providing 1:1 training. Ensure that IT Training resources are uploaded and managed through the Learning Management System. Design and build e-learning courses to support IT Training requirements for changes and projects.
- To establish and maintain all necessary records, archives and administration systems in relation to contracts management and SAP transports. This will include a period review with the IT Management Team.
- Support IT Operations with
- IT asset management for laptops and mobile devices.
- Manage the ongoing relationship with Alto Digital to ensure quality standards and compliance with agreed service levels to meet business requirements.

Requirements
Do you have experience in Time management?, * Previous experience in an administrative/coordinator role supporting a number of individuals at different levels.
- Systems experience: Knowledge of SAP Procurement; Knowledge of the ITIL framework.
- Excellent organisation and time management skills and meticulous attention to detail.
- Communication skills: Excellent verbal and written communication skills; articulate.
- Numeracy skills.
- PC skills - Microsoft Office to an intermediate level.
- Experience developing e-learning content in appropriate applications.
- Able to work well under pressure.
- Problem solving skills.
- Works in a systematic and organised manner.
- Has a broad understanding of the work of other functions and departments in the business.
- Continuous improvement of processes/ways of working.
