Job description
The Business Support Coordinator will provide comprehensive programme delivery and administrative support to the Safety and Surveillance Group in addition to supporting the Business Support and Analytics Manager's operational and strategic activities to ensure that all projects deliver to time.
The post holder will provide a Secretariat function across the entire Group, simultaneously supporting multiple Deputy Directors with diary management for Safety and Surveillance business/staff meetings and a range of other meetings and initiatives as required ensuring accurate minutes and allocation and tracking of actions. In addition, the post holder will work with colleagues to support management of the work coming into the Deputy Directors' offices to ensure timely allocation across the Group to support efficient business operations., * Perform diary management activities for Deputy Directors across the Division and serve as the Secretariat for Senior Management/staff meetings/external meetings and ad hoc meetings as required. This includes co-ordinating a programme of work for each function in addition to team meetings to ensure key functional work is communicated and outputs from the meetings are implemented.

Manage administrative work such as monthly reports, patient enquires, training and development, Freedom of Information requests, media requires etc. by tracking progress and ensuring timely delivery.

Support programme management activities including progress tracking, coordinating completion of key deliverables, stakeholder management, organisation and prioritisation of key actions.

Provide support to the Deputy Directors in the development and organisation of policy and strategy documentation both in the Group and across the Agency. The role may require the preparation of communication materials including presentations and working across the group to support the co-ordination of a range of documents which are often urgent and needed at short notice.

Staff joining on promotion will receive up to a 10% increase of their current basic salary, or the pay band minimum, whichever is the greater.
The individual will not retain any allowances paid by the former department/Agency, unless there are special circumstances, such as a reserved right to those allowances on transfer.

- Excellent writing skills are required for preparing briefing and to independently write formal reports. (A, I)
- Able to multi-task and balance competing priorities and react to multiple requests. (A)
Technical Criteria:
- Preferred degree or equivalent qualification in a relevant discipline e.g. pharmacy, science, medical engineering, medical physics, biomaterials or healthcare professional qualification or equivalent qualifications or relevant work experience. (A)
- Recognised programme management qualification is desirable. (A)
