Job description

The Helpdesk Coordinator is responsible for the efficient coordination, administration and oversight of all planned and reactive maintenance activities across the Stoke Park estate. The role ensures work is logged, prioritised and completed in line with compliance standards, operational needs and service expectations. The postholder acts as a central communication point between the Maintenance team, contractors and wider operational departments, supporting the delivery of a safe, well-maintained and high-quality environment for members, guests and employees., Maintenance Coordination

  • Maintain and manage the maintenance helpdesk, ensuring all planned and reactive tasks are logged, prioritised and updated promptly.
  • Administer and coordinate all planned preventive maintenance (PPM) activity, ensuring documentation is accurate, up to date and compliant.
  • Monitor work progress and ensure timely completion, escalating where required.
  • Identify trends or recurring faults and report these to the Technical Services Manager/Chief Engineer, supporting continuous improvement.

Communication & Liaison

  • Act as the primary link between the Maintenance team, internal departments and external contractors, ensuring clear communication and smooth workflow.
  • Provide updates on maintenance statuses, delays or issues impacting operations.
  • Support the Technical Services Manager in coordinating contractor site visits and access requirements.

Health, Safety & Compliance

  • Promote and reinforce safe working practices, ensuring all tasks and documentation comply with Health & Safety requirements.
  • Take an active role in risk identification and safe-system-of-work processes.
  • Ensure adherence to Stoke Park's emergency procedures including fire, security and evacuation protocols.
  • Maintain confidentiality and uphold professional standards at all times.

Administration & General Duties

  • Keep accurate digital and physical records using hotel operations systems (e.g., HotSOS or similar).
  • Support the Technical Support Manager with reporting, data tracking and operational planning.
  • Attend training, meetings and appraisals as required.
  • Ensure personal presentation, uniform standards and conduct reflect Stoke Park brand values.
  • Work flexibly according to the rota and business needs.
