Job description

The IT Project Manager is responsible for the end-to-end planning, coordination, and execution of all IT-related activities within a site relocation or new-site development project.

The role serves as the central interface between:

  • Local IT teams
  • Global IT infrastructure teams (Connectivity, Lab IT, Workplace IT, Unified Communications)
  • Facility Management and Real Estate teams
  • Construction project stakeholders
  • External service providers and vendors

The IT Project Manager ensures that all IT infrastructure, workplace technologies, and laboratory environments are delivered in alignment with global standards and project timelines., A. Project Management

  • Define project objectives, scope, budget, assumptions, and constraints with stakeholders.
  • Establish and maintain project governance structures and reporting mechanisms.
  • Develop and maintain detailed project schedules, including dependencies, critical paths, and task ownership.
  • Create and manage the project organization structure with defined roles and responsibilities.
  • Facilitate regular project meetings, issue resolution sessions, and risk management reviews.
  • Identify and manage risks, issues, and mitigation plans.
  • Publish periodic status reports and milestone updates.

B. IT Infrastructure & Connectivity Coordination

  • Coordinate the design and implementation of WAN, LAN, and SD-WAN environments according to corporate standards.
  • Manage procurement, tracking, and delivery of network hardware.
  • Identify reusable hardware aligned with migration strategy.
  • Coordinate installation and configuration of connectivity devices.
  • Ensure building cabling and structured wiring design meets IT infrastructure requirements.
  • Oversee site integration into the global enterprise network, including routing, firewall configuration, and policy enforcement.
  • Coordinate internet service provisioning and vendor engagement.

C. Unified Communications & Collaboration Technologies

Video Conferencing

  • Define collaboration platform architecture (e.g., enterprise conferencing platforms).
  • Determine room enablement scope and booking systems.
  • Coordinate procurement, installation, and configuration of collaboration hardware.
  • Manage reuse of existing equipment where applicable.

Telephony

  • Define telephony solution architecture (e.g., VoIP, hybrid).
  • Plan deployment scope and hardware provisioning.
  • Coordinate installation and configuration.

Digital Signage

  • Define digital signage platform strategy.
  • Plan screen deployments and content infrastructure.
  • Manage procurement, installation, and configuration.

D. Printing Services

  • Determine required number and types of devices.
  • Coordinate leasing, deployment, and return of equipment.
  • Oversee installation, configuration, and testing.
  • Ensure proper decommissioning and asset tracking.

E. Workplace & Shared Office Setup

  • Define requirements for equipped shared workspaces (e.g., flexible desks, collaboration areas).
  • Capture business requirements such as monitor configurations and docking solutions.
  • Manage procurement, reuse evaluation, installation, and configuration.
  • Ensure workplace IT aligns with global standards.

F. Lab IT & Technical Environments

  • Identify laboratories to be relocated or decommissioned.
  • Assess and plan migration of IT-supported lab equipment.
  • Define infrastructure requirements for lab environments.
  • Coordinate connectivity enablement for lab setups.
  • Oversee procurement, migration, installation, and testing of lab systems.

G. Construction & Move Coordination

  • Ensure IT infrastructure requirements are incorporated into space planning and construction phases.
  • Validate allocation of space for data rooms and patch panel closets.
  • Ensure required utilities (power, cooling, fire protection, security, etc.) are provisioned.
  • Define and coordinate phased migration and cut-over strategies.
  • Develop runbooks and migration playbooks.
  • Coordinate go-live and transition planning.

H. Decommissioning of Legacy Sites

  • Plan secure shutdown and deinstallation of IT systems.
  • Ensure compliance with data protection and regulatory requirements.
  • Oversee asset identification, disposal, reuse, and data destruction.
  • Coordinate vendor handover.
  • Ensure configuration management databases and asset records are updated.
  1. Key Deliverables
  • Comprehensive cut-over and transition plan (including rollback strategy and go/no-go criteria).
  • Reviewed and consolidated runbooks for infrastructure components.
  • Validated network, workplace, and lab IT documentation.
  • Decommissioning documentation including compliance evidence and asset tracking.

Requirements

  • Proven experience in IT project management within complex enterprise environments.
  • Strong understanding of global IT infrastructure structures.
  • Experience in workplace IT, connectivity, and site migration projects.
  • Solid knowledge of network infrastructure concepts.
  • Excellent communication and documentation skills in German and English.
  • Structured and proactive stakeholder management approach.
  • Ability to manage cross-functional teams and external vendors.
  • Strong organizational and risk management skills.
