Job description

We are seeking a dynamic and experienced Operations Support Manager to provide internal structure to processes and support the work of senior management, as well as overseeing document management, keeping strict audit trails and representing the organisation in first line contact with other external contacts. Responsibilities

  • Coordinate and support daily operational activities to ensure efficiency and effectiveness of workflow across departments.
  • Support and maintain ISO accreditations
  • Provide day-to-day admin support for senior management, building effective working relationships
  • Gather information required, in a timely manner, for input into workflows and projects
  • Log work accurately on the CRM system, also using this to produce reports to enhance management decision making
  • Filing, producing and editing client-facing documents, logging documents in the correct place for ease of access for multiple stakeholders
  • Liaising with external partners to ensure timely provision of documentation
  • Ensure all files and reports meet industry regulatory standards through daily checks and periodic in-depth audits of randomly selected files
  • Raise invoices and track payment stages of each workflow
  • Develop and maintain standard operating procedures, ensuring compliance with organisational policies and industry standards.

Requirements

  • At least 3 years' experience in a management-level internal operations role
  • Experience within a professional services organisation is preferred - for instance, legal, banking, insurance, surveying, valuations, audit, accounting, corporate finance, investors, property or real estate or regulatory.
  • Experience managing, or involvement in, ISO accreditations, or experience working in an ISO accredited organisation or similar.
  • Highly organised with the ability to prioritise tasks effectively under pressure, and manage multiple cases across several team members simultaneously.
  • Strong interpersonal skills with a focus on teamwork, collaboration, and stakeholder engagement.
  • Confidence with document management and accurate filing, understanding the need for an audit trail.
  • Familiarity working with CRM systems
  • Proactive, self-motivated work style, taking ownership of tasks from initiation through to completion.
  • Confidence in managing upwards and reporting to senior team members, including providing insights and recommendations.
