Job description

  • Supporting the Contracts Manager with day-to-day contract operations and providing clear, consistent updates
  • Acting as a central hub for incoming jobs-handling 100+ callouts daily and ensuring all SLAs are met
  • Coordinating engineers and subcontractors to maintain high standards and smooth delivery
  • Managing and monitoring reactive and planned preventative maintenance (PPM) works
  • Overseeing Work in Progress (WIP) and ensuring all tasks are tracked, updated, and completed efficiently
  • Auditing reports to ensure compliance and enable timely, accurate invoicing
  • Tracking costs and supporting the preparation of quotes when required
  • Producing detailed reports using Microsoft Word and Excel
  • Providing administrative support across Hard FM contracts, including residential and mechanical

Requirements

  • Experience in a busy Service & Maintenance environment
  • Experience working with CAFM systems
  • Ability to thrive under pressure and meet strict deadlines and service levels
  • Strong organisational skills with a logical, detail-focused approach
  • Excellent multitasking and prioritisation abilities
  • Confident communicator with the ability to liaise effectively with engineers and stakeholders
  • Flexible approach, with willingness to work additional hours when needed
  • Strong IT skills, particularly in Microsoft Word and Excel
