Orbit are delighted to be recruiting for a Governance Assistant to join us in this brand new role to Orbit Group. In this role you will provide support to the Governance team on all matters relating to the effective running of the Governance and Company Secretariat functions of Orbit, supporting all members of the team and the Group's Board and Committee members. The Governance Assistant will provide essential administrative and operational support to the governance team, supporting it to operate efficiently, compliantly, and in line with best practices. The role will ensure that the governance function runs smoothly, manage meeting logistics, draft agendas, track action items, and maintain records, facilitating effective decision-making and supporting overall governance compliance. This role is part of Regulatory & Governance where you'll help us give colleagues the support and expertise they need to be brilliant. What you'll achieve
- Responsible for the administrative services and support to the governance and company secretariat function
- Maintain the Group governance calendar, including the Board and Committee meeting schedules
- Manage the governance team and company secretariat calendars, scheduling appointments, and booking meeting rooms or conference facilities.
- Assist in the production of governance reports, papers, presentations and similar documentation
- Support the Director of Governance and Company Secretary and Head of Governance liaison with the Chief Executive, Executive Directors, Board Chair and Board and Committee Members
- Support with the budgeting and tracking of expenditure within the governance function
- Contribute to the financial delivery of the service by booking facilities, catering, travel and resources via agreed procurement processes.
- Process Board and Committee expenses
- Raise purchase orders, check and goods receipt invoices for payment.
Requirements

A confident, highly organised individual with excellent planning, prioritisation and time-management skills

Experience in an administrative support role in a large organisation.

Proficiency in both written (emails, reports) and verbal (phone etiquette, greeting visitors) communication

The ability to manage complex calendars, prioritise a heavy workload and meet shifting deadlines

Experience of handling confidential and sensitive information with discretion

Strong attention to detail and precision in data entry, proofreading documents, and maintaining accurate filing systems.

Ability to develop and maintain strong colleague relationships and deliver high standards of customer service.

Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams, SharePoint).

Enthusiasm, flexibility, willingness to learn together with a "can-do" attitude. Desirable skills

Understanding of governance principles and the role of Boards in a not-for-profit or regulated sector.
