Job description

We are looking for an enthusiastic and motivated person to support our team to help and assist with IT and organise and coordinator our estates.

The post holder would be required to create and maintain an efficient work environment, ensuring high levels of health and safety are followed.

Responsibilities

Estates:

  • Attend and maintain our branch surgeries at The Merlin Centre and Tregony.
  • Maintain and be responsible for our company vehicles.
  • Be responsible for maintenance and repairs within the surgery
  • Carry out risk assessments
  • Help write and update protocols
  • Ensure that operational reports are shared with the relevant staff
  • Ensure that invoices quotes and other financial elements are discussed with the Senior Management team and recorded appropriately in keeping with the practice policy.
  • Liaise with attached staff and ensure arrangements are in place to provide access to systems and building in accordance with information government and security policies.
  • Ensure regular audits are undertaken such as H&S, disabled access, water quality. Take part on formulating the action plan and overseeing the completion.
  • Be responsible for the security of the premises and making sure the alarms and fire system are regularly tested
  • Act as fire safety officer for the premises
  • Be responsible for liaising with the waste management company.
  • Liaise with the cleaning company
  • Be a key holder and the first point of contact for Security Company.
  • Be responsible for training, repairs and maintaining our door security system.
  • Be responsible and the direct contact for KK control maintenance, porta cabins, BSAir- air con units, Waldons
  • Dealing with external contractors ie Waldrons
  • Arranging suitable testing of equipment and assets
  • Action CAS alerts
  • Be responsible for training, repairs and maintaining our door security system.
  • Be the Fire warden and responsible for the upkeep of the fire register
  • Conduct staff inductions with IT, Estates and Health and Safety.

IT:

  • To serve as the main point of contact for IT.
  • NHS email accounts
  • Maintain the office environment and arrange and coordinate necessary repairs
  • Coordinate the IT on all office equipment and issues and repairs.
  • Coordinate and maintain the various communication systems (ie MJog and EConsult)
  • Practice lead for IT, working under direction of Senior Manager to ensure the practice and surgical centre's IT needs are met, developing the use of information technology to enable it to meet modernisation targets, maximise income and improve patient care.
  • In conjunction with the management staff to establish a set of protocols for the practice to ensure the accurate input of data and enable access of information as necessary.
  • Keep the Senior Manager informed of any matters arising or potential problems.
  • Ensure new staff know how to log on to the desk top and any applications they require and they understand the practices protocol on data security
  • To provide support and training for current and new staff in resolving simple problems with PC'S and printers
  • Assist with training other members of staff on IT matters
  • Reporting of IT and telephone faults to relevant bodies (Systmone , NHS Kernow, CITS)
  • Liaise with computer service providers; be able to back up/re boot system trouble shoot problems.
  • Have a knowledge of the telephone system and run reports if necessary
  • Smartcard management
  • Support the Senior Manager in completion the IG Toolkit annually.
  • Maintain the asset register.
  • CCTV
  • Be responsible for training, repairs and maintaining the Photocopier, telephone system, wifi,
  • Be responsible and the direct contact for training, creating accounts, repairs and mantaining systems in the surgery to include Windows, SystmOne account, Bluestream, INR star, Eclipse, Footfall, Focus, Accurx.
  • Be responsible for the maintaining printers and scanners
  • Creating accounts and running audits on our door security.
  • Conduct staff inductions with IT, Estates and Health and Safety.
