Job description
Provide high-level administrative support to senior executives, ensuring seamless scheduling, travel coordination, and daily operational support in a fast-paced corporate environment.
Day-to-Day Responsibilities:
- Manage complex calendars for multiple senior executives, coordinating meetings across internal and external stakeholders and multiple time zones.
- Schedule and prepare executive meetings, including reviewing schedules directly with executives.
- Coordinate executive travel arrangements, detailed itineraries, and expense reporting.
- Handle sensitive and confidential information with professionalism and discretion.
- Support general office operations including reception coverage, breakroom restocking, office supply maintenance, and occasional shipping or local pickups.

Requirements
- 3-10 years of recent experience (within the past year) supporting C-level executives.
- Experience in professional environments such as corporate, financial services, or legal organizations.
- Strong calendar management and executive scheduling experience.
- Experience coordinating executive travel and expense reporting.
- Advanced proficiency with Microsoft Office (Outlook, Excel, PowerPoint, Word).
- Experience using collaboration tools such as Teams and Zoom.
- Experience with Concur for travel and expense management.
- Strong organizational skills with the ability to manage multiple priorities simultaneously.
- Excellent written and verbal communication skills.
- High level of discretion, professionalism, and business acumen in a fast-paced executive environment.
- Nice-to-Haves:
- Prior experience supporting multiple executives simultaneously.
- Experience assisting HR, finance, or technology leadership teams. This position is eligible for medical, dental, vision, and 401(k).
