- Assist with office functions and provide assistance to network staff.
- Sort and distribute communications in a timely manner.
- Assist with building intercom communications.
- Provide general support to visitors and callers.
- Maintain storage and supply areas.
- Organize and monitor supply levels, receive deliveries, and verify items received.
- Manage and address office-related issues as they arise.
- Process vendor time sheets.
- Coordinate onboarding of vendors
- Assist with porter coverage.
- Maintain trusting relationships with suppliers, customers, and colleagues.
- Organize and maintain digital filing systems
- Assist in the collection of insurance documentation
- Provide regular updates on pending task
- Support scheduling of conference rooms and events
- Performs other duties as assigned.
Requirements
The Operations Assistant will help organize and run the daily administrative operations of the facility, support a myriad of office tasks, and work diligently under the supervision of the Director of Vendor Relations and Billing. The ideal candidate will possess a keen attention to detail, be highly organized, have excellent interpersonal and communication skills, maintain confidentiality, and have excellent problem-solving skills., * High School Diploma or General Equivalency Diploma (G.E.D.) required.
- Minimum of 2 years of work experience as an Operations/Office Assistant or similar administrative role required.
- A thorough understanding of office management procedures is required.
- Excellent organizational and time management skills required.
- Analytical abilities and problem-solving aptitude required.
- Excellent written and verbal communication skills required.
- Proficiency in MS Office Suite (MS Word, Excel, PowerPoint, Outlook) required
