Job description

We are seeking a Project Coordinator to support the Digital Health Integration Office (DHIO) mission area. This position provides critical PMO, administrative, and operational support to DHA leadership and staff, including meeting coordination, executive correspondence, briefing preparation, action item tracking, and office management. The successful candidate will bring strong organizational, communication, and coordination skills and thrive in a mission-focused government support environment., The Project Coordinator supports the Defense Health Agency’s Digital Health Integration Office (DHIO) mission by providing program coordination, executive administrative support, meeting management, and office operations support within a PMO environment. The individual will help coordinate enterprise activities across Health Informatics branches, support leadership communications and briefings, manage meeting logistics and action tracking, and assist with special projects and administrative operations. The ideal candidate is highly organized, detail-oriented, and experienced in supporting senior leadership in a federal healthcare or Défense environment., * Provide project and administrative support to DHA Défense Health Agency Digital Health Integration Office (DHIO) leadership and staff.

  • Support enterprise coordination activities within a PMO framework to help integrate, monitor, report, and communicate progress across DHIO initiatives.
  • Coordinate and facilitate meetings, including:
  • preparing agendas,
  • assembling and distributing read-ahead materials,
  • assisting with PowerPoint presentations,
  • reserving conference rooms,
  • setting up meeting spaces,
  • coordinating audio-visual support,
  • supporting MS Teams meetings,
  • taking, formatting, and distributing meeting minutes,
  • tracking open issues and action items through resolution.
  • Coordinate and track correspondence, briefing packages, and presentation materials for directors, chiefs of staff, and branch chiefs.
  • Answer incoming office telephone calls, route calls appropriately, take messages, and schedule meetings on behalf of leadership.
  • Prepare, edit, copy, and distribute documents, correspondence, reports, and presentation materials.
  • Manage and track multiple special projects and activities with varying deadlines and priorities.
  • Order, pick up, and maintain office supplies and administrative materials.
  • Coordinate pickup and packaging of government awards and shipping materials as needed.
  • Process DHHQ and Pentagon building access requests for designated DHA leadership personnel.
  • Perform all duties in accordance with applicable regulations, policies, procedures, and administrative instructions.
  • Keep and maintain Core Applications Virtual Task Board in ServiceNow.
  • Maintain Teams channels
  • Run IPT for Internal Position builds; take meeting minutes and make agenda.
  • Attend various meetings to get updates on internal projects, DHMSM projects, things that are with AMS for build.
  • Attend monthly DHA HI Internal meetings
  • Attend and give updates in the HI Leadership Project Updates meeting.
  • Attend Monthly MPR. Get updates on all Core Branch DHMSM projects. Take notes on discussion and project updates.
  • Send weekly updates on all internal and DHMSM projects to branch chief.

DUTIES BY FUNCTIONAL AREA

PMO / Project Coordination

Track initiatives, monitor progress, support reporting, coordinate special projects, assist with enterprise coordination activities

Meeting Management

Schedule meetings, reserve rooms, prepare agendas, distribute read-aheads, support AV/Teams setup, record minutes, track action items

Executive / Administrative Support

Manage calls, calendars, correspondence, briefings, presentation materials, and leadership support tasks

Documentation Support

Draft, edit, format, copy, and distribute documents, reports, and presentations

Office Operations

Order supplies, coordinate awards pickup/packaging, support shipping tasks, process building access requests

Pay: $40,000.00 - $55,000.00 per year

Requirements

  • High School Diploma or Higher Education.
  • 3+ years of experience in project coordination, program support, executive administration, or operations support in a federal or military health environment preferred.
  • Experience supporting senior leaders, directors, or chiefs in a fast-paced office environment.
  • Demonstrated experience coordinating meetings, calendars, briefings, and executive correspondence.
  • Strong proficiency with Microsoft Office Suite, especially PowerPoint, Word, Excel, Outlook, and Teams.
  • Ability to track action items, manage multiple priorities, and meet deadlines with minimal supervision.
  • Strong written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to handle sensitive information with professionalism and discretion.
  • Ability to obtain and maintain required building access and/or security requirements., * Experience supporting the Defense Health Agency, Department of Defense, or other federal healthcare organizations.
  • Familiarity with DHIO, enterprise coordination, or PMO support functions.
  • Experience preparing executive-level briefings and read-ahead materials.
  • Experience with correspondence tracking systems and action item management.
  • Knowledge of military staff processes and administrative protocols.
