- Create and maintain complete job files from start to finish.
- Ensure all documentation is accurate, organized, and submitted in a timely manner.
- Monitor job progress and assist with administrative support throughout the life of each project.
- Review job files for completeness, including photos, moisture logs, notes, authorizations, and required documentation.
- Assist with invoicing, collections, and insurance documentation.
- Coordinate communication between customers, project managers, technicians, subcontractors, and insurance representatives.
- Update job management software with accurate notes and project information.
- Track outstanding documents and follow up to ensure timely completion.
- Schedule appointments and assist with project coordination as needed.

Requirements
SERVPRO of Northwest Phoenix and Anthem is looking for a detail-oriented and highly organized Job File Coordinator to support our restoration operations by managing job documentation, customer communication, insurance paperwork, and administrative processes from the first notice of loss through project completion.
The ideal candidate thrives in a fast-paced environment, enjoys keeping projects organized, and takes pride in ensuring every job file is complete, accurate, and compliant. This role works closely with Project Managers, Estimators, Technicians, Insurance Adjusters, and Customers to help deliver an exceptional restoration experience., * Previous administrative, office coordination, or project coordination experience required.
- Restoration industry experience is strongly preferred.
- Experience with Xactimate, DASH, Encircle, MICA, or similar restoration software is a plus.
- Strong computer skills, including Microsoft Office and Outlook.
- Excellent organizational skills with exceptional attention to detail.
- Ability to prioritize multiple projects and deadlines simultaneously.
- Strong written and verbal communication skills.
- Professional phone etiquette and customer service experience.
- Ability to work independently while collaborating effectively with a team.
