Job description
Duties and Job Responsibilities:
Data & Systems Support *
- Maintain and update records in the Institute’s Salesforce database, including data entry, record updates, and routine report or list generation.
- Provide front-line user support to program staff using the database; escalate system configuration changes, new builds, or integration needs to the Director of Finance and Operations or an external Salesforce consultant.
- Assist with data cleaning, de-duplication, and migration tasks as assigned.
- Help maintain existing data collection tools (applications, intake forms, assessments, service-delivery and feedback forms), ensuring forms are distributed, collected, and filed correctly.
- Collaborate with the Digital Literacy & Data Support Associate and program staff across the Institute to gather the data needed for Salesforce, the Human Services Case Management Application, and related reporting tools; this role does not have supervisory authority over the Associate, who reports administratively to the Director of Finance and Operations.
Reporting Support *
- Pull, organize, and format program data for internal reports, funder reports, dashboards, and other materials using established templates.
- Respond to routine data requests from program and leadership staff.
- Update and maintain existing dashboards; flag data discrepancies or anomalies to the supervisor.
Evaluation Support *
- Support the implementation of evaluation plans, metrics, and KPIs designed by the Director of Finance and Operations or in collaboration with program leads
- Conduct quality-assurance checks on data entry and reporting (e.g., spot-checks for missing, duplicate, or inconsistent records) and flag issues for resolution.
- Assist in preparing materials that translate program data into clear summaries for staff, leadership, and funders.
Other Duties *
- Attend Institute events as required.
- Other duties as assigned.
Required Skills/Abilities: *
- Proficiency in Excel or Google Sheets; familiarity with Salesforce or another CRM/database is a plus (training provided).
- Strong attention to detail and comfort with repetitive data-entry and quality-assurance tasks.
- Ability to follow established data collection, entry, and reporting protocols accurately and consistently.
- Good written and verbal communication skills.
- Ability to manage multiple routine tasks, meet deadlines, and work well under supervision.
Required Physical Abilities: *
- Lift a ream of paper.
Education and Experience: *
- Bachelor’s degree preferred (or equivalent combination of education and experience); Associate’s degree with relevant experience will be considered.
- 0-2 years of experience in data entry, administrative support, research, or evaluation settings. Experience with justice-involved populations or higher education is a plus.
Compensation, Growth Path & Funding Note
This role is funded primarily through city contracts (renewed on a multi-year cycle) and foundation grants. As with all positions at IJO, compensation decisions are reviewed annually as part of the fiscal year budgeting process and are not automatic.
