Job description
Representative duties and responsibilities are listed, but not limited to the following:
- Proactively serve as clerical support for the School Library Services Department and administrative assistant to the department head/supervisor including, but not limited to, processing time and attendance records, recruitment and hiring requests, conference and mileage requests and reimbursement, preparation of department reference documents, and purchasing of supplies.
- Process documentation for the Electronic Database and Library Automation Service including pricing documents and order sheets. Distribute these resources to participating districts and compile the resulting orders.
- Enter related purchase orders for the Electronic Database, Library Automation, Instructional Multimedia, and School Library System services and authorize payment of same.
- Collet usage statistics for the Electronic Databases monthly and maintain spreadsheets summarizing various resource purchases.
- Provide clerical support for the grant supported School Library System program including documentation for School Library System MiniGrants Program and the four School Library System Meetings that take place during the school year including scheduling conference rooms, preparing agendas, and recording meeting minutes.
- Serve as back-up coverage for the Arts in Education/ILL Clerk.
- Other related duties as requested by the administrative staff.
Requirements
Graduation from high school or possession of an equivalency diploma, plus EITHER: (A) Four (4) years of paid full-time or its part-time or volunteer equivalent office clerical or secretarial experience; OR, (B) An associate degree in Secretarial Science, Office Technology, or a closely related field, plus two (2) years of experience of described in (A) above; OR (C) An equivalent combination of education and experience as defined by the limits of (A) and (B) above.
- Experience as a Teller, Cashier or Salesclerk will not be considered appropriate experience for the purposes of these minimum qualifications., Your degree must have been awarded by a college or university accredited by a regional, national, or specialized agency recognized as an accrediting agency by the U.S. Department of Education/U.S Secretary of Education. If your degree was awarded by an educational institution outside the United States and its territories, you must provide independent verification of equivalency. A list of acceptable companies who provide this service can be found on the Internet at http://www.cs.ny.gov/jobseeker/degrees.cfm. You must pay the required evaluation fee. 1. Strong interpersonal skills greeting visitors and callers, and interactions with staff members and school district personnel. 2. Excellent customer service skills. 3. Experience with Microsoft Office Suite/Microsoft Office 365/Microsoft Teams. 4. Knowledge of Frontline and Wincap, or similar HR Management and Purchasing tools. 5. Excellent organizational skills and ability to work under pressure. 6. Ability to work both independently and collaboratively in a team environment. 7. Excellent verbal and written communication skills. 8. Demonstrate exemplar customer service, including excellent phone and interpersonal relationship skills. 9. Ability to handle confidential and sensitive material appropriately. 10. Physically able to perform essential functions of the position (with or without reasonable accommodation).
