GreenFlame Installations Ltd is looking for an organised and proactive Office Receptionist & Service/Maintenance Co Ordinator to join our friendly team.
This is a varied role where you’ll be front and centre of Reception and performing general admin tasks. Alongside being at the heart of our service department, coordinating engineers, supporting customers, and ensuring our biomass and air source heat pump installations receive first-class maintenance and support. If you enjoy organising workloads, solving problems, and providing excellent customer service, we’d love to hear from you.
What You’ll Be Doing
As the central point of contact for our Office and Service/ Maintenance department, a typical list of duties are as follows:
- You will be the first contact, to meet and greet in person and over the phone.
- Answer and direct incoming calls and manage office emails
- Carry out general administration duties as instructed.
- Manage and reconcile breakdowns and emergency call-outs
- Coordinate engineers’ diaries and schedule planned maintenance visits
- Liaise with customers by phone and email, providing updates and arranging appointments
- Process card payments
- Raise work orders, service reports and maintenance documentation
- Order and track parts for repairs and servicing
- Maintain accurate customer records
Requirements
- Previous experience as an office administrator or customer service role, service coordinator, scheduler, maintenance planner
- Excellent organisational and time management skills
- Strong communication skills with a customer-focused approach
- Ability to prioritise and manage changing workloads
- Good IT skills, including Microsoft Office
- High attention to detail and accurate record keeping
- Ability to work independently and as part of a small team
- Great sense of humour!
Desirable
- Experience/knowledge in heating, plumbing and/or renewables.
- Familiarity with service management software such as Commusoft, although training will be provided.
- Working knowledge of Microsoft Word, Excell and Outlook, You’re organised, approachable and enjoy keeping things running smoothly. You thrive in a busy environment where no two days are the same. You take pride in delivering outstanding customer service while supporting a close-knit engineering team. You are a team player but working independently doesn’t faze you.
