Job description
- Supplier Sourcing & Evaluation: Source and evaluate suppliers for equipment, materials, and services required for industrial equipment and engineering projects.
- RFQ & Proposal Evaluation: Prepare and issue Requests for Quotation (RFQs) and evaluate supplier proposals based on pricing, delivery timelines, project requirements, and regulatory compliance.
- Commercial Negotiation: Negotiate pricing, lead times, and commercial terms with suppliers.
- Order Processing: Create, process, and track purchase orders through to final delivery.
- Logistics & Coordination: Coordinate closely with external suppliers, freight forwarders, and internal project teams to ensure on-time delivery.
- Data & System Management: Maintain accurate procurement records and vendor information within company systems.
- Inventory Control: Oversee the receipt, shipment, and inventory management of equipment and project materials.
- Contract Administration: Review, negotiate, and coordinate contract execution, including Non-Disclosure Agreements (NDAs), purchase agreements, and other commercial contracts.

9:00 - 17:00
Monday to Friday
Occasional travel to vendors or customers may be required.
Occasional overtime or weekend work may be required based on project needs.
Requirements
The Purchasing Specialist supports purchasing operations for industrial equipment and engineering projects. Key responsibilities include sourcing suppliers, preparing and evaluating quotations, negotiating commercial terms, processing purchase orders, and coordinating the timely delivery of materials and equipment. The role also encompasses inventory management, contract review and execution support, and close collaboration with suppliers, freight forwarders, and project teams. The ideal candidate is a detail-oriented, highly organized, and proactive professional capable of managing multiple priorities to deliver cost-effective, high-quality procurement solutions in a fast-paced, international business environment., * Bachelor`s degree or equivalent work experience.
- 2+ years of purchasing, procurement, supply chain, or project coordination experience.
- Experience purchasing industrial equipment or engineered products.
- Proficiency with Microsoft 365 applications (Word, Excel, Outlook, Teams)
- Ability to manage multiple procurement activities simultaneously
- Strong written and verbal communication skills, with excellent phone and email etiquette
- Ability to read technical specifications and engineering documents.
Preferred
- Experience working with overseas offices or in cross-border business operations is a plus
- Knowledge of Incoterms, import/export procedures, and logistics coordination.
- Knowledge of ASME standards, certifications, and other applicable industry codes related to process equipment
- Experience supporting engineering or construction projects.
- Japanese-English bilingual ability is a big plus.
