Job description
We are seeking an Adoption & Change Management Specialist to drive successful adoption of new technologies, tools, and ways of working across the organization - including platforms such as Microsoft 365, Copilot, and other enterprise systems. This role focuses on the people side of change: building awareness, driving engagement, minimizing resistance, and ensuring employees have the skills and confidence to use new solutions effectively. You’ll design and execute change management strategies, communications, and training programs that maximize adoption, utilization, and proficiency. Key Responsibilities
- Develop and execute change management strategies and plans for technology rollouts, process changes, and organizational initiatives, applying a structured methodology (e.g., Prosci ADKAR, Kotter).
- Conduct change impact assessments and stakeholder analysis to identify affected groups, risks, and readiness levels.
- Design and deliver communication plans, including messaging, FAQs, newsletters, intranet content, and leadership talking points to build awareness and buy-in.
- Build and deliver training programs and enablement materials (guides, videos, live sessions, office hours) tailored to different audiences and skill levels.
- Partner with project/technical teams (e.g., IT, Copilot/M365 architects, HR) to align change activities with implementation timelines.
- Identify and manage a network of change champions/super users across business units to drive peer-to-peer adoption.
- Develop adoption metrics and dashboards to track usage, engagement, and proficiency; report progress to sponsors and leadership.
- Gather and analyze user feedback through surveys, focus groups, and pulse checks; translate insights into action plans.
- Identify resistance points and develop mitigation strategies, coaching managers and leaders on reinforcing new behaviors.
- Support organizational readiness activities, including role mapping, process changes, and post-go-live reinforcement/sustainment plans.
- Collaborate with L&D teams to embed new tools/processes into onboarding and ongoing learning journeys.
- Document lessons learned and best practices to continuously improve the change management approach.
Requirements

6+ years of experience in change management, organizational development, communications, or training roles, ideally supporting technology or digital workplace initiatives.
- Solid understanding of change management methodologies and frameworks (e.g., Prosci/ADKAR, Kotter’s 8-Step, ACMP standard).
- Experience managing adoption for enterprise software rollouts (e.g., Microsoft 365, Copilot, CRM/ERP systems, or similar).
- Strong written and verbal communication skills; ability to craft clear, audience-appropriate messaging.
- Experience designing and delivering training content and enablement materials for varied audiences.
- Data-driven mindset; comfortable defining adoption KPIs and building reporting/dashboards.
- Strong stakeholder management and influencing skills, including with senior leaders.
- Highly organized, with experience managing multiple concurrent initiatives and competing priorities.
