Job description

We are currently seeking an IT assistant to provide contract administration support to the operations team and the Systems Manager to meet the needs of the business objectives and targets.

To support the Senior Systems Manager in the day-to-day running of the company’s business systems - principally Salesforce - along with contract set-up and data maintenance, reporting, and IT equipment and licence administration., This role will include a variety of tasks including the following:

Salesforce administration and support

  • Act as first point of contact for day-to-day Salesforce queries from office and field-based colleagues, resolving straightforward issues and escalating the rest.
  • Carry out routine administration: user creation and deactivation, permission set assignment, password and login issues, and basic record fixes.
  • Maintain data quality - identifying and correcting duplicates, incomplete records and inconsistencies.
  • Assist with testing new features, automations and changes before they are released to users, and feed back clearly on anything that does not work as expected.

Contract mobilisation and data maintenance

  • Support the set-up of new contracts in the system: sites, assets, service schedules and associated records.
  • Prepare, check and load data using Data Loader (or equivalent) under supervision, following agreed processes and checking record counts and field mapping before and after every load.
  • Keep contract records accurate and current as sites, assets and schedules change.
  • Maintain a clear audit trail of what was changed, when and why.

Reporting

  • Run and distribute recurring operational and compliance reports to agreed deadlines.
  • Build and amend straightforward Salesforce reports and dashboards.
  • Investigate and query data that looks wrong before it reaches a customer or manager.
  • Assist with preparation of KPI and compliance packs.

IT equipment and licences

  • Issue, record and recover IT equipment (laptops, tablets, phones) for starters, leavers and replacements.
  • Maintain an accurate asset register including serial numbers, allocation and condition.
  • Track software licence allocation and renewal dates, flagging upcoming renewals and unused licences.
  • Prepare and configure equipment for new starters ahead of their start date.

Training and documentation

  • Assist with induction and refresher training for new starters on company systems.
  • Maintain user guides, process notes and quick-reference materials, keeping them up to date as systems change.
  • Help identify recurring user problems and suggest where training or process changes would reduce them.

General

  • Handle company, customer and employee data confidentially and in line with GDPR and company policy.
  • Contribute ideas for improving and simplifying existing processes.
  • Undertake other reasonable duties in support of the Systems function.

Requirements

This is a junior, entry-level position with full training provided. The successful candidate will start by supporting routine and repeatable tasks, and over time take ownership of them, freeing up capacity for larger system development work. No prior Salesforce experience is required; a methodical approach, strong attention to detail and a genuine interest in learning systems are far more important., * Confident, competent user of Microsoft Excel (sorting, filtering, basic formulas, working with large lists).

  • Excellent attention to detail, particularly when handling data - accuracy matters more than speed in this role.
  • Well organised, able to manage a varied workload and keep track of multiple small tasks without dropping any.
  • Clear written and verbal communication, comfortable dealing with field engineers, office staff and managers.
  • A logical, methodical approach to problem solving and a willingness to work things out.
  • Genuine interest in learning business systems, with the self-motivation to complete structured training.
  • Discretion and reliability when handling sensitive information.

Desirable:

  • Any exposure to Salesforce, whether at work or through Trailhead.
  • Experience in water hygiene, legionella compliance, facilities management or a similar service-based industry.
  • Experience of administrative or data entry work in a business environment., * Ability to plan and prioritise own workloads
  • Ability to work under pressure and on your own initiative
  • Good written and verbal communication skills
  • Adaptable and flexible in approach to work required
  • Willingness and ability to work as a member of a team
  • Ability to demonstrate initiative and offer new ideas
  • Ability to work unsupervised and take responsibility

Job Types: Full-time, Permanent

Pay: £28,000 to £30,000 per year, per annum dependent on experience.

Additional pay:

  • In addition to your base salary, you shall be eligible to participate in the Company’s market-leading commission scheme, subject to the terms of the scheme in place from time to time. Any commission payable in respect of additional works shall be shared between you and the Account Manager. Commission payments shall only become due once the relevant customer invoice has been paid in full to the Company.
