Job description

  • To provide operational and technical support to the Engineering and Fabric Management teams in the coordination and delivery of service charge recoverable maintenance activities, minor works and building fabric related operations across the portfolio.
  • The role will support the day-to-day management of contractor activities, compliance administration, inspections, reporting, and maintenance coordination to help ensure buildings remain safe, compliant, operationally efficient and maintained to a high standard.
  • The position will also assist with wider project and asset related activities where required, in conjunction with the wider management team and appointed specialists., Operational & Maintenance Support
  • Support the Engineering and Fabric Management teams with the coordination of planned preventative maintenance and reactive maintenance activities.
  • Assist with managing service partners and contractors undertaking maintenance and minor works across the portfolio.
  • Review permit requests alongside associated Risk Assessments and Method Statements (RAMS).
  • Monitor contractor attendance, work quality, and completion of assigned tasks.
  • Assist with maintaining safe systems of work and compliance with site procedures.

Building Inspections & Compliance

  • Conduct regular building inspections and audits across the estate.
  • Produce clear and professional reports identifying maintenance, compliance, or presentation related issues.
  • Upload inspection findings and supporting information to relevant management systems.
  • Liaise with contractors, suppliers, and internal teams to coordinate remedial actions.
  • Assist with monitoring health & safety compliance across contractor activities and fabric related works.

Minor Works & Project Coordination

  • Assist with the coordination and delivery of minor fabric projects including:
  • decorations,
  • door replacements,
  • minor glazing works,
  • stone maintenance,
  • street furniture repairs,
  • and general estate presentation works.
  • Support project administration activities including contractor coordination, progress tracking, and reporting.
  • Assist with ensuring works are completed in a timely and cost-effective manner.

Reporting & Administration

  • Generate monthly and quarterly reports relating to completed maintenance and fabric works.
  • Maintain accurate maintenance records and supporting documentation.
  • Support the management team with tracking outstanding issues and remedial actions.
  • Assist with ongoing communication regarding building issues and operational matters.

Asset & Technical Support

Where required, provide operational support to wider asset management and project initiatives in conjunction with the Engineering and Fabric Management teams and appointed consultants.

This may include:

  • assisting with condition inspections,
  • coordinating contractor access,
  • supporting refurbishment activities,
  • and providing operational input into building improvement projects.

The role would not carry sole responsibility for specialist engineering, surveying, or strategic asset management functions.

Requirements

Do you have experience in Organizational skills?, * Experience within commercial property, facilities management or building maintenance environments.

  • Good understanding of contractor coordination and maintenance operations.
  • Basic understanding of health & safety procedures and permit systems.
  • Strong organisational and communication skills.
  • Ability to produce clear inspection reports and maintenance records.
  • Competent using Microsoft Office and property management systems., * IOSH qualification desirable.
  • Experience within commercial office or mixed-use property environments.
  • Understanding of building fabric and maintenance operations advantageous.

Benefits & conditions

Working Hours - 09:00 - 17:30 - Core Hours, flexibility required dependant on projects. Multiple site locations.

Salary - Circa £45,000 pa. Subject to experience.
