Job description

Primary point of contact for all helpdesk enquiries, ensuring a professional, welcoming, and well-maintained working environment. Providing day-to-day support to the Helpdesk Manager and Operations Team, office standards, and service compliance. Responsible for accurate recording and management of information within the internal CAFM system and maintaining effective communication via email and telephone., * Act as the primary point of contact for all helpdesk enquiries, requests, works orders, and quotation requests, ensuring a high standard of client communication and service delivery.

  • Manage and operate the CAFM system, including the accurate processing, uploading, and maintenance of soft services work orders, quotation requests, and client data.
  • Ensure all actions are completed within agreed timescales, with system data kept accurate, up to date, and compliant.
  • Oversee shared mailboxes and telephone communications, responding to and filing correspondence efficiently, acknowledging all enquiries, prioritising urgent requests, and directing communications appropriately.
  • Ensure the office environment is maintained to a consistently high professional standard.
  • Support planning and coordination of routine and ad-hoc soft services tasks.
  • Manage quote registers and tender pipelines with BDM
  • Monitor supplier performance and service delivery.
  • Support complaint handling, audits, RAMS, and compliance.
  • Provide administrative and finance support including invoice preparation.
  • Implement and oversee an end-of-day shutdown service, ensuring dishwashers are filled and switched on, all unnecessary plugs are turned off, desks and communal areas are cleaned and reset, and toilets are checked, cleaned, and stocked.

Requirements

  • Facilities Management background preferred.
  • Proven customer service or helpdesk experience.
  • Excellent communication skills.
  • IT literate with Microsoft Office and CAFM systems.
  • Strong administration, organisation, and time management.
  • High attention to detail.
  • Professional approach at all times.
