Job description

The Administration & IT Coordinator is responsible for managing the day-to-day administrative operations of the Spain entity and supporting the setup and maintenance of the company’s office and IT infrastructure.

This role ensures smooth office operations, manages vendors and facilities, supports employee onboarding, oversees basic IT systems, and acts as the coordination point between the local office, HQ departments, and external service providers.

Essential Functions

  • Office Administration / General Affairs

  • Manage office leasing, setup, renovations, and coordination with contractors during the establishment phase.

  • Oversee office supplies, procurement, vendor management, and cost control.

  • Manage company assets including furniture, equipment, and office tools.

  • Handle daily office operations including cleaning, security, maintenance, telecom, and utilities.

  • Maintain and renew service contracts (internet, printers, facilities, insurance, vehicles, etc.).

  • Handle document management: filing, archiving, courier handling, shipment coordination.

  • Support meeting and visitor management (conference room setup, facility access, logistics).

  • Prepare administrative cost reports and support budget control.

  • IT Infrastructure & Support

  • Set up and maintain basic IT infrastructure: PCs, laptops, printers, network devices, Wi-Fi, cabling.

  • Support LAN/WAN configuration and local network stability.

  • Coordinate with HQ IT and software vendors during implementation of ERP, Groupware, Salesforce, and other corporate systems (User account setup & access rights, Device readiness, Onsite support during deployment)

  • Manage IT asset inventory and software licenses (OS, security programs, Office365, etc.).

  • Troubleshoot first-line IT issues and escalate to external vendors or HQ IT when necessary.

  • Ensure compliance with corporate IT security policies (password, backups, access rights).

  • Support HR/Finance/SCM teams in connecting systems (ERP, Payroll, Outlook, HR portals).

  • Maintain data backup routines and ensure stable IT equipment operation.

  • Assist with digitalization and process automation of administrative workflows.

  • Support for Finance/HR/SCM Operations

  • Assist with onboarding and offboarding processes (device setup, workspace preparation, document control).

  • Prepare documents required by banks, vendors, or government authorities.

  • Act as the liaison with external service providers (telecom, IT vendors, ERP contractors).

  • Support office policy implementation and basic compliance management.

Requirements

Do you have experience in IT support?, Do you have a Bachelor’s degree?, * Bachelor’s degree in Business Administration, Information Systems, or related field.

  • Minimum 5 years of experience in office administration, IT support, or operations coordination, preferably in multinational or foreign-invested companies.

  • Experience managing service vendors and overseeing office setup or relocation projects preferred.

  • Basic understanding of networks, hardware configuration, and IT troubleshooting.

  • Prior experience working with Korean companies or in a Korea-related business environment is an advantage

General Skills / Abilities

  • Strong communication skills in English and Spanish; Korean proficiency is a plus.

  • Excellent organizational and multitasking abilities.

  • Strong vendor management and negotiation skills.

  • Basic technical understanding of Windows OS, Office 365, VPN, LAN/WLAN, hardware setup, and troubleshooting.

  • High sense of responsibility, reliability, and service-oriented mindset.

  • Ability to manage confidential information appropriately.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools.

  • Availability for urgent facility or IT matters when required.

  • May require coordination with Korea HQ teams outside local business hours.

Sueldo: 28.000,00€-60.000,00€ al año
