Our Custom Support Team plays a crucial role in keeping orders moving smoothly from Sales Production Delivery. We hire people who are dependable, detail-oriented, quick learners, and great teammates.

The Role

The Custom Support Administrator supports the Sales and Custom Logo teams with order processing, communication, documentation, and vendor coordination. This is a fast-paced, accuracy-driven role that requires strong organization, adaptability, and a positive attitude. You’ll help ensure custom orders progress quickly and correctly, reducing friction for both customers and internal teams.

Department Objectives

This role is directly accountable for executing the following objectives:

Maximize Sales through Exceptional Support

Deliver precise, reliable support that builds confidence and enables sales to spend more time with customers. Elevate the quality of work and consistency within Support to increase team confidence and overall productivity.

Create a Fast, Predictable Order Flow

Streamline workflows to reduce delays and create a smooth, reliable order progression. Improve internal visibility and reduce preventable errors to keep orders on track, without unnecessary rework.

Champion Our Customers

Identify and eliminate friction across the customer journey. Remove pain points before they impact customers.

Key Responsibilities

Order Support & Communication

  • Collect logo files, submit proof requests to the Art Team, and manage customer proof approvals.
  • Communicate promptly and professionally with customers, vendors, and the Sales Team.
  • Coordinate vendor product procurement, decoration scheduling, and delivery timing.
  • Assist with payment collection and resolve order-related issues quickly and accurately.

System & Workflow Execution

  • Process and update orders using the GBC Admin System with a high degree of accuracy.
  • Monitor vendor orders and maintain detailed internal notes.
  • Follow structured workflows that support a fast, predictable order progression.
  • Participate in continuous improvement efforts, including adoption of new tools and AI-assisted workflows.

Team Collaboration & Culture

  • Work closely with Sales, Production, IT, and the Custom Logo Team to keep orders moving efficiently.
  • Adapt to shifting priorities, seasonal peaks, and evolving workflow needs.
  • Foster a positive, team-oriented environment and communicate effectively with a wide variety of personality types.
  • Support other departments as needed based on workload and staffing.

Requirements

Do you have experience in Customer communication?, Required

  • Dependable work ethic with the ability to learn quickly and adapt in a dynamic environment.
  • Strong attention to detail, organization, and follow-through.
  • Positive attitude and strong interpersonal skills.
  • Professional written and verbal communication skills.
  • Ability to manage multiple tasks with accuracy and urgency.
  • Proficiency with computers and basic software tools (email, order systems).
  • Interest in adopting new technologies, including AI-assisted tools, to improve speed and accuracy.

Preferred

  • Experience in administrative support, order processing, or customer service.
  • Familiarity with data-management systems and Microsoft Outlook.
  • Experience coordinating multi-step workflows or collaborating with vendors.
