Job description

  • In line with project and organisational standards, register, file, track, and archive incoming and outgoing documents, including drawings, specifications, correspondence, and reports.
  • Develop and maintain a document transmittal system for all correspondence.
  • Co-ordinate with business development, planning, and finance depts to ensure timely submission, review, and distribution of documents.
  • Liaise directly with contractors and suppliers to review and control the flow of project documentation.
  • Co-ordinate with internal teams and external stakeholders maintain version control and ensure up-to-date documentation is available.
  • Liaise with relevant parties by organising and indexing records in a traceable format.
  • Develop and manage project control system using the SharePoint
  • Provide training and guidance on document control system as required.

Requirements

  • Need to have Viewpoint or 4 Project experience (system used)
  • Knowledge of Microsoft Office software, especially Word, Excel and Outlook or similar programmes
  • Verbal and written communication skills
  • Strong organisational and management skills
  • Clear and efficient numbering and labelling skills
  • Attention to detail to ensure documents are accurate
  • Filing and organisation skills for document storage, Industry-specific technical knowledge, including understanding of industry terms, policies and processes
  • Project management experience
  • Construction industry experience
