Job description
- In line with project and organisational standards, register, file, track, and archive incoming and outgoing documents, including drawings, specifications, correspondence, and reports.
- Develop and maintain a document transmittal system for all correspondence.
- Co-ordinate with business development, planning, and finance depts to ensure timely submission, review, and distribution of documents.
- Liaise directly with contractors and suppliers to review and control the flow of project documentation.
- Co-ordinate with internal teams and external stakeholders maintain version control and ensure up-to-date documentation is available.
- Liaise with relevant parties by organising and indexing records in a traceable format.
- Develop and manage project control system using the SharePoint
- Provide training and guidance on document control system as required.
Requirements
- Need to have Viewpoint or 4 Project experience (system used)
- Knowledge of Microsoft Office software, especially Word, Excel and Outlook or similar programmes
- Verbal and written communication skills
- Strong organisational and management skills
- Clear and efficient numbering and labelling skills
- Attention to detail to ensure documents are accurate
- Filing and organisation skills for document storage, Industry-specific technical knowledge, including understanding of industry terms, policies and processes
- Project management experience
- Construction industry experience
