Job description

The Website, IT & App Coordinator plays a pivotal role in supporting both the development and launch of The Ehlers-Danlos Society's new website and the smooth running of our existing digital platforms. Working within the Website, IT & App Team, you will act as a key part of the team, linking new and existing content, technology and operations together to prepare for the launch of our new site. This role is instrumental in ensuring streamlined project workflows and fostering collaboration among team members and serving the community. This role will work closely with the other internal teams to support the development and further launches of the app and website projects, ensuring each iteration meets the needs of the team and the community. Alongside website and app administration, the coordinator will provide light IT support and departmental administration, including assisting staff with basic digital and IT queries, maintaining documentation and SOPs, managing shared inboxes, and preparing reports and project materials for internal and external stakeholders.

Key Responsibilities/Essential Functions

This role has three (3) core areas of ownership, the responsibilities involved include, but are not limited to:

Website & App Administration

  • Create and update web pages from new and existing content on our websites, ensuring they meet brand guidelines, fit within templated designs and perform effectively.
  • Working with the website and app developers to ensure functionality is suitable for use by the internal team and the community.
  • Carry out page population and content migration activities from our current to our new website in WordPress (copying, re-formatting and checking content against new templates and designs).
  • Manage CRM and CMS systems effectively to keep site management in order.
  • Work closely with Communications and other departments to build out new content in a user-friendly, accessible manner that follows agreed content and brand guidelines.

  • Work with internal teams to keep website & app content relevant and up-to-date in line with updated information and events in their departments.
  • Contribute to end-to-end testing for the website and app, including quality assurance and testing processes for both platforms and propose methods to continue improving the user experience.
  • Log, triage and track website and app issues and change requests, ensuring they are clearly documented for developers and followed through to resolution.
  • Contribute to quality assurance (QA) and user acceptance testing (UAT) for the new website and app, following test scripts, logging issues, and retesting once fixes are applied.
  • Assist with mapping and testing redirects and navigation links to ensure users can find content after launch.

IT Support

  • Support the staff team with IT onboarding, support and queries.
  • Support with IT migrations, policy updates and infrastructure changes.

Department Administration

  • Work on excel to export and import files for bulk content management.
  • Maintain thorough project documentation and organized records for all platforms.
  • Write and maintain SOPs for essential website, app and IT functions.
  • Monitor shared mailboxes for website, app and IT, ensuring enquiries are acknowledged and responded to or triaged promptly.
  • Contribute to presentations and meticulously prepare project-related reports for internal and external stakeholders.
  • Provide vital administrative support to the department.
  • Providing cover for other members of the Website, App & IT team to maintain essential functions and support our mission

Work Environment

Under normal conditions, this role is a fully remote position, working from home. However, due to the international nature of the Society's work, staff may be required to travel to company events, meetings, and conferences as well as some weekend work.

Requirements

Do you have experience in WordPress?, Do you have a Bachelor's degree?, Education & Eligibility

  • Bachelor's degree in a related field or equivalent work experience.
  • Must be eligible to work in the UK without sponsorship.
  • Stable internet connection for video calls and cloud-based services (fully remote role).

Technical Skills

  • Essential expertise with CMS platforms, particularly WordPress, including confident day-to-day usage for page building and content management.
  • Familiarity with HTML, CSS and JavaScript (advantageous).
  • SEM and SEO experience with a proven track record of delivering performance results.
  • Awareness of web accessibility principles (e.g. WCAG) and how they apply to headings, layout, links, images and documents.
  • Experience using Google Analytics to monitor website performance and produce basic reports or insights.
  • Proficiency with MS Office (Outlook, Word, Excel, PowerPoint) and cloud-based collaboration tools.

Project & Digital Experience

  • Experience coordinating or supporting website and/or app projects, such as content updates, QA, or participating in a site launch or redesign.
  • Familiarity with website and app development processes (beneficial).

Communication & Collaboration

  • Excellent written and verbal communication skills.
  • Ability to establish and maintain strong working relationships with stakeholders at all levels.
  • Competent working in a virtual team environment, contributing to remote meetings and collaborating across time zones.

Organisation & Problem Solving

  • Strong organisational skills with meticulous attention to detail.
  • Exceptional time-management skills, with the ability to prioritise tasks and manage multiple projects concurrently.
  • Systematic, proactive problem-solving approach.

Additional Requirements

  • Flexibility to work on occasional evenings or weekends to support in-person events, launches or time-sensitive milestones.
  • Ability to attend one in-person retreat annually in the UK.
  • Willingness to travel to other in-person meetings and events as needed.
