Job description

We are looking for a highly organised and personable individual to join our team in an administrative and customer support capacity. The role involves managing communications, insurance and warranty processes, repairs coordination, and inventory tracking, while delivering excellent service to students, insurers, manufacturers, and internal teams., Communication Handling

  • Answer and respond to phone calls, emails, and live chat queries relating to insurance, warranties, orders, and repairs
  • Schedule callbacks for technicians and advise students on connecting to remote support
  • Update CRM HelpDesk tickets with accurate and clear notes

Insurance Management:

  • Guide students through the insurance claim process
  • Arrange equipment collections and issue repair or replacement quotes
  • Liaise with insurers and provide claim progress updates
  • Create sales orders for repairs and replacements
  • Ensure all authorised work is invoiced correctly

Extensions and Health Checks

  • Check warranty and insurance coverage
  • Create quotes for warranty extensions and equipment health checks
  • Update CRM systems with relevant documentation and approvals
  • Communicate with student finance bodies to manage approvals
  • Coordinate repairs or replacements as required

Manufacturer Coordination

  • Book equipment repairs with manufacturers
  • Arrange collections and deliveries
  • Chase outstanding repairs and updates
  • Maintain accurate stock and repair records

Logistics

  • Create shipping labels and manage DPD collections and deliveries
  • Update CRM records for inbound and outbound repairs
  • Investigate and resolve missing items or delivery delays

Equipment Handling and Inventory

  • Receive, identify, photograph, and label equipment correctly
  • Update CRM systems with receipt and status of items
  • Ensure equipment is handled, stored, and tracked accurately

Requirements

Do you have a valid Driving Licence license?, Do you have experience in Technical support?, Essential

  • Excellent time management and organisational skills
  • Strong written and verbal communication skills
  • Experience handling telephone calls in a professional environment
  • Good working knowledge of Microsoft Office (Word, Excel, etc.)
  • Strong typing and administration skills
  • Friendly, approachable, and able to work both independently and as part of a team
  • GCSEs (or equivalent) at Grade C or above in Maths, English, and ICT
  • Minimum of 2 years' experience in an administrative role
  • Full UK driving licence

Desirable

  • Strong problem-solving skills
  • Technical knowledge of computer systems and hardware
