Job description
To provide operational administration support across the post check-in tenancy lifecycle, ensuring records are accurate, tasks are progressed on time, and landlords and tenants receive a smooth, responsive service., * Maintain accurate tenancy and property records (audit trail, documents, communications)
- Handle day-to-day tenant queries and route issues to the right person
- Support maintenance workflow administration (logging jobs, chasing updates, diary management)
- Track compliance expiry dates and support scheduling of renewals, S13 notices
- Support arrears workflow administration (chase templates, call logs, updating payment plan notes)
- Process notices received and issue standard guidance to tenants (check-out expectations, key return etc.)
- Book check-out appointments and ensure documents are received and filed
- Carry out check-out appointments
- Support deposit administration (evidence gathering, correspondence, submissions as directed)
Customer service & communication
- Provide consistent updates to tenants and landlords as required
- Escalate complaints or high-risk cases to the Property Manager / Senior Property Manager
Works closely with
- Senior Property Manager (task prioritisation and escalation)
- Property Manager (maintenance updates, landlord comms, evidence gathering)
Shared team expectations
- All roles work collaboratively to ensure a consistent, high-quality tenancy journey from check-in to check-out.
- Each role supports colleagues as required during peak periods, absence cover, or complex cases.
- All roles must maintain accurate notes and full audit trail on the property management system. This role requires exceptionally strong organisational skills.
Requirements
Do you have a valid Driving Licence license?, Do you have experience in Microsoft Office?, Do you have a GCSE?, * Educated to GCSE level (or equivalent) including Maths and English. A-Levels or a degree is desirable.
- Proven experience in property management within the UK.
Skills & Knowledge:
- Comprehensive knowledge of UK housing legislation and best practices.
- Excellent communication, interpersonal, and customer service skills.
- Strong organisational and time management skills.
- Ability to manage multiple tasks and prioritise effectively.
- Proficiency in property management software and Microsoft Office Suite.
- Strong problem-solving and negotiation skills.
Other:
- Full UK driving license and access to a vehicle.
