Job description
We are seeking a highly organised and customer-focused Helpdesk Administrator to support the smooth day-to-day running of the logistics office.
This role is critical in ensuring that operational demands are met efficiently while maintaining strong communication with internal teams, retailers, suppliers and contractors., We are looking for someone who can uphold health and safety standards in line with Client and ISS requirements, manage core helpdesk functions, and deliver excellent service to all stakeholders.
This position plays a key role in maintaining compliance, supporting emergency response processes, and ensuring consistent, high-quality operational support.
Key Responsibilities
Manage and monitor the Delivery Management System (DMS), including contractor access requests.
Assist with the smooth daily running of the logistics office, ensuring operational requirements are met.
Maintain compliant health and safety standards aligned with Client and ISS expectations.
Support and uphold site emergency response procedures and Service Yard rules.
Manage helpdesk operations, ensuring inboxes, incoming calls and report organisation meet required standards.
Log reactive jobs onto Westfield's FSI Concept CAFM system.
Liaise with customers, retailers, suppliers and couriers to ensure satisfaction and high-quality service.
Communicate relevant issues and updates to the Key Account Coordinator.
Requirements
Strong analytical skills, including the ability to interpret written, numeric, graphic and statistical information.
Knowledge of risk management in medium to large organisations.
Excellent verbal and written communication skills with proactive customer engagement.
Strong problem-solving capability with high attention to detail.
Able to prioritise tasks and workload, and willing to complete multiple tasks at any one time.
Skilled at building and maintaining client relationships to support organisational objectives.
