Job description

  • Manage incoming calls, assisting with customer and supplier queries and directing them to the appropriate department
  • Sign visitors in and out of the building
  • Oversee stock management for stationery, merchandise, and company supplies
  • Manage kitchen stock, including ordering and receiving deliveries
  • Collect signatures for company milestone cards
  • Manage emails across multiple shared inboxes
  • Coordinate calendars and meeting schedules
  • Collate invoices for processing
  • Update customer databases and the asset management system
  • Prepare and send documents as required
  • Complete data entry and cross-referencing tasks
  • Maintain fire attendance logs by checking calendars daily and recording attendance
  • Support the Central Team with onboarding preparations
  • Manage diaries for contractors, trial shifts, and new starters, ensuring all staff are informed
  • Analyse reports, including Jola and QTake
  • Update the Repair Tracker System and attend a weekly meeting with the Engineering Team Leader
  • Procure goods as required and raise purchase orders for various purchases
  • Manage domestic and international shipping, when requested
  • Coordinate equipment returns to suppliers for repair
  • Check shipment tracking details to ensure items arrive

Requirements

Do you have a valid Driving License license?, Do you have experience in Time management?, We are seeking an Administrator to support our Central Operations and various other teams within the Company.   • Flexibility - the company priorities often change unexpectedly, candidate needs to possess the ability to switch tasks at short notice, to meet the business needs.
  • Discretion - working in highly sensitive areas of film production
  • Computer literate - strong competency with the MS Office suit - Excel, Word, Outlook, and Apple with ability to learn new programs quickly

Preferred

  • Experience of domestic and international shipping would be a big advantage

Benefits & conditions

  • 40 hours per week, working 8am to 4.30pm - with flexibility to work outside of these hours if required
  • Monday to Friday
