Job description

We're looking for a Data & Systems Support Coordinator to assist with data management, system updates, and mobilisation coordination across our maintenance division. You'll play an important supporting role in maintaining standards, helping operational delivery, and ensuring contracts are accurately represented in our systems.

What you'll do

In this role, you'll assist with managing data and system processes to support operations, compliance, and mobilisation across the maintenance division:

  • Help maintain accurate work order and service data across client portals and internal maintenance systems
  • Reconcile data, identify discrepancies, and support compliance and audit standards
  • Prepare reconciliation reports and summaries for internal teams
  • Manage updates, configuration adjustments, and data corrections via JIRA or similar ticketing systems
  • Support the onboarding of new maintenance contracts, coordinating with Finance, Operations, HSQE, HR, and IT teams to ensure smooth handovers
  • Liaise with clients to confirm portal requirements, obtain missing information, and resolve onboarding issues efficiently
  • Conduct Tree Preservation Order (TPO) checks for Extra Works requests, providing guidance to operational teams
  • Provide proactive administrative and data support to maintain smooth processes

Requirements

Do you have experience in Time management?, * Strong proficiency in Microsoft Excel, Outlook, and Teams, with excellent attention to detail

  • Clear verbal and written communication skills and a proactive approach
  • Ability to reconcile, analyse, and validate datasets across multiple systems
  • Good organisational and time-management skills, able to prioritise effectively
  • Comfortable following defined processes while suggesting small improvements
  • Experience with JIRA or similar ticketing systems (desirable)
  • Previous experience supporting contract mobilisation or operational onboarding (desirable)
  • Knowledge of Grounds Maintenance, Arboriculture, or related industries (desirable)
  • Understanding of compliance processes (desirable)
