Job description
We are looking for a highly organised, proactive, and detail-obsessed CRM Administrator to take full ownership of our data ecosystem. This role is perfect for someone who enjoys structure, thrives in the world of minutiae, and takes pride in keeping information pristine, compliant, and future-ready.
This is a part time role (3 days) split between two days in the office, and one worked remotely. It's a behind-the-scenes role, but an essential one - the backbone of making our searches run smoothly.
Responsibilities include:
Database Ownership & Maintenance
- Oversee the day-to-day management of the Invenias CRM, ensuring data accuracy, integrity, and consistency across all records.
- Build out reports within Invenias to provide data that will aid searches.
- Proactively update candidate and client information: contact details, career moves, GDPR consents, organisational changes, and more.
- Run regular GDPR reviews, ensuring data is compliant, up to date, and safely stored.
- Maintain and continuously improve our Invenias user guide, documenting new processes and best practices.
Process & Systems Management
- Ensure the team is using Milestones correctly and consistently across all search timelines.
- Run regular database audits and cleanliness checks - spotting gaps, inconsistencies, and opportunities to improve how we organise data.
- Conduct and log search post-mortems, ensuring insights are captured for future work.
- Bring a proactively curious mindset: suggest better ways of doing things, streamline workflows, and optimise how the CRM supports the wider team.
Future Thinking
- Identify opportunities for automation, better categorisation, improved tagging, and smarter data flows.
- Keep an eye on media industry movements, helping connect the dots between external shifts and our internal database.
Requirements
Do you have experience in CRM software?, * Proven experience working with CRM systems - ideally Invenias.
- Exceptional attention to detail; the kind of person who naturally double- and triple-checks their work.
- Proactive, self-directed, and comfortable managing their own workflows.
- A natural organiser who finds satisfaction in making systems cleaner, tighter, and more efficient.
- Ideally, an interest in - or understanding of - the TV and media landscape.
