Job description

The Data Quality Administrator is responsible for supporting the Practice in delivering high-quality, safe and effective patient care through the management of clinical data, recall processes and performance-related activity. The post holder plays a key role in maintaining accurate clinical records, ensuring high data quality standards, and supporting programmes linked to financial incentive schemes such as QOF, Local Enhanced Services/LIS, IIF, PCN DES and GPQC.

  • Working closely with the clinical and management teams, the role involves running clinical searches, supporting contract requirements, managing patient recalls, and contributing to patient engagement campaigns. The post holder helps ensure that performance indicators are met by maintaining robust data, identifying gaps and supporting timely completion of activity as well as providing administrative support to the wider team and practice as and when needed., 1. Data Quality & Clinical Searches
  • Maintain high standards of data accuracy within clinical systems.
  • Run routine and ad-hoc clinical searches to support performance monitoring, audits and service delivery.
  • Identify and correct coding discrepancies to ensure accurate patient records.
  • Support updates to templates, protocols and data quality tools.
  1. Financial Incentive Schemes (QOF, LES/LIS, IIF, PCN DES, GPQC)
  • Provide administrative support for all activity-based and financial incentive schemes.
  • Monitor performance indicators, highlight gaps and ensure accurate data capture.
  • Assist with preparing and submitting claims and performance reports on time.
  • Work with clinicians to improve achievement and maintain data that underpins practice and PCN funding.
  1. Recalls & Patient Communication
  • Coordinate recall processes for long-term conditions, vaccinations, screening and follow-up reviews.
  • Contact patients via telephone, letter, SMS or digital messaging systems.
  • Support patients with booking review appointments and responding to recall-related queries.
  • Track recall progress and update internal spreadsheets or dashboards.
  1. Campaigns & Patient Engagement
  • Assist with patient outreach campaigns and health promotion activities.
  • Prepare data lists, messaging and administrative materials for campaigns.
  1. General Administration
  • Ensure accurate coding, scanning and processing of clinical documents.
  • Maintain confidentiality and adhere to all data protection and information governance requirements.
  • New patient record note summarising including registration and deductions.
  • Provide support to the administrative team and wider Practice as and when needed.
  • This list is not exhaustive, and the post holder will be required to undertake any additional administrative tasks to support operational effectiveness and the wider practice needs.

Requirements

This is a detail-focused role requiring strong IT skills, accuracy and the ability to work independently while contributing to a small, supportive administrative team., Essential

  • Strong IT literacy, including confident use of Windows, Excel and database systems.
  • Experience using EMIS or similar clinical systems.
  • Understanding of data quality, clinical coding, recalls or NHS performance frameworks.
  • High attention to detail and strong accuracy in work.
  • Confident written and verbal communication skills.
  • Ability to manage workload independently and work with minimal supervision.
  • Professional, reliable and patient-focused approach.

Desirable

  • Previous experience in a GP practice or NHS administrative role.
  • Familiarity with iPLATO, AccuRx or other digital communication tools.
  • Experience running clinical searches or coordinating recall programmes.
  • Knowledge of medical terminology or NHS incentive/contract schemes.
