Job description
- Handling incoming calls and emails from clients, engineers, and subcontractors
- Logging, updating, and tracking maintenance jobs using a helpdesk or CAFM system
- Scheduling and coordinating engineers and subcontractors
- Managing job progression from initial request through to completion
- Raising, issuing, and following up on quotes
- Monitoring SLAs and KPIs and escalating risks where required
- Producing basic reports and maintaining accurate records
- Triaging and prioritising incoming maintenance requests
- Processing invoicing tasks
- Updating client portals and systems in line with contractual requirements
Requirements
A facilities maintenance company is seeking an experienced Helpdesk Administrator with strong skills in scheduling, job logging, engineer coordination, and helpdesk operations. This role supports a busy maintenance helpdesk and requires excellent organisational ability, accuracy in CAFM system updates, and confidence managing SLA performance, client communication, and maintenance workflow in a fast-paced environment., * Experience in a helpdesk, scheduling, facilities maintenance, customer service, or administration role
- Confident telephone manner and strong written communication
- Highly organised with excellent attention to detail
- Able to manage multiple tasks and prioritise effectively
- Comfortable using IT systems such as Outlook, Excel, and job management platforms
- Calm, professional, and able to work under pressure
