Why this role matters
The Executive Assistant at Data and Technology Hub is a force multiplier for the CEO and the leadership team. This team member is responsible for providing high-quality administrative, coordination, and operational support for the CEO and senior leaders. This role combines executive support with operational and vendor management and is ideal for someone who enjoys stakeholder management, variety, takes pride in establishing strong systems, and thrives in a collaborative, mission-driven environment.

What you'll do:
Executive support & rhythm of business
- Manage the CEO's calendar end-to-end, including prioritization, preparation, scheduling, and proactive conflict resolution. Coordinate meetings and prepare clear and strategic meeting agendas in all calendar invitations.
- Establish and maintain a strong rhythm of business and annual calendar for the CEO, including weekly leadership meetings, 1:1s, quarterly leadership planning sessions, bi-annual funder reviews, and monthly Advisory Council meetings
- Ensure the CEO is consistently prepared for meetings with clear agendas, background materials, pre-reads, and expected actions from prior discussions.
- Track action items and commitments coming out of meetings and ensure completed actions
- Provide occasional support to two other senior leaders on an as-needed basis and as time allows balanced with priority responsibilities.
Operational support & coordination
- Partner closely with the CEO to support day-to-day organizational operations.
- Assist with preparation of leadership meeting materials, agendas, notes, and action logs.
- Support coordination across the leadership team, helping information flow smoothly and efficiently.
- Occasionally provide logistical, meeting room booking, catering, and onsite and/or remote logistics for staff, leadership team, and Advisory Council offsites.
- Help to plan and manage team building activities, celebrations, and internal events.
Expense, travel, invoice, and administrative management
- Manage the CEO's expense reimbursement process, ensuring accuracy, timeliness, and compliance with policies.
- Book and manage the CEO's travel, event, conference, and industry association travel and logistics.
- Process and track invoices, vendor payments, and reimbursements in partnership with the CEO and Finance Analyst.
- Maintain organized records for expenses, invoices, contracts, and key administrative documents.
Communication & professionalism
- Serve as a point of contact for internal and external stakeholders interacting with the CEO.
- Handle sensitive and confidential information with discretion, judgment, and care.
- Represent Data and Technology Hub with warmth, professionalism, and respect in all interactions.
- Maintain and contribute to shared knowledge base and document management.
- Maintain contact lists and distribution groups.
- Post updates to the Data and Technology Hub intranet and other digital assets.
- Contribute to special projects and desk research as needed.
Continuous improvement
- Identify opportunities to improve administrative, scheduling, and communication processes.
- Leverage tools and AI-enabled workflows (e.g., scheduling tools, meeting notes, task tracking) to reduce friction and manual work.
- Help establish repeatable, scalable support systems as the organization grows.
Success in the first 6 months
- The CEO's calendar and workload are well-structured, prioritized, and sustainable. All requests to meet with the CEO are answered promptly and balanced for priority.
- Leadership meetings run smoothly, with clear agendas, preparation, and follow-through.
- Expenses and invoices are processed accurately and on time, with minimal rework.
- The CEO experience a noticeable reduction in administrative and coordination burden.
- You are seen as a trusted, proactive partner who helps the organization operate better.
Requirements
Do you have experience in Vendor relationship management?, * 5+ years of experience supporting senior executives, preferably in fast moving, mission-driven, or startup environments.
- Strong attention to detail, organizational, and time-management skills and the ability to manage multiple competing priorities.
- Strong judgment and discretion when handling confidential information.
- Clear, professional written and verbal communication skills.
- Comfort working in a remote-first environment with distributed teams. Able to align schedule to the CEO's Eastern Standard Time zone.
- Experience in or commitment to learning AI tools to work more efficiently.
- Calm, grounded presence; ability to bring order without bureaucracy.
- Professional and emotional maturity, proactiveness, and motivation to learn and grow in a fast-moving environment

- Opportunity to potentially transition into a regular full-time role after 6-month, The base salary range for this full-time remote position is $100k-$130k plus benefits. TechSoup determines salary ranges based on a role, level, and location. The range reflects the minimum and maximum targets for new hire salaries for the position across all US locations. Individual pay is determined by location and other factors, including job-related skills, experience, relevant education or training, business needs, and market demands.
