Job description
Communication Standards: Provide courteous, effective communication with clients, staff, volunteers and community partners. Serve as an advocate and community ambassador for the Society.
Role Overview: The Administrative and Data Management Assistant maintains databases and files, prepares reports and meeting materials, drafts correspondence, and assists with client/donor events.
Principal Accountabilities:
- Support executive office: schedule meetings/events; prepare agendas, and materials; maintain electronic/paper files on shared drives.
- Process charitable contributions; post donations in donor information system. Reconcile gift receipts. Prepare gift acknowledgement letters.
- Create, maintain, and update donor records. Compile and analyze data for reports and mailings. Ensure data accuracy.
- Produce client services reports from the agency’s EMR (Electronic Medical Records) management system. Assist in data collection as needed.
- Provide administrative support for agency events., Job Relationships: Position Reports to the President and C.E.O.; also receives assigned work from the Director of Development and Director of Adult Services
Requirements
- Associate’s degree in business or related field required; bachelor’s degree preferred but not required
- Minimum four (4) years of relevant experience (non-profit sector preferred), including administrative, data entry, database management, and customer service
- High proficiency in Microsoft Office Suite and information systems/databases
- Excellent written and oral communication, organizational skills, analytical ability, and attention to detail
- Experience managing confidential information with discretion and in accordance with HIPAA or other regulatory standards
Working Conditions:
- Onsite at SLSBVI office in Brentwood, Missouri, with occasional offsite event attendance
- Extended periods of sitting; frequent walking indoors/outdoors
- Occasionally lift/transport lightweight items (1-20 lbs.)
- Frequent bending, reaching forward/overhead, simple grasping, pushing/pulling
- Frequent computer screen work
