Job description

We are seeking a dependable and motivated Production Support Specialist to assist multiple departments, support daily production needs, and manage parts ordering for incoming and active jobs., The Production Support Specialist provides hands-on and administrative support throughout the company. This position will assist different departments with daily tasks, order and track parts, update job information, organize materials, and help ensure production teams have what they need to complete work efficiently.

This is an entry-level growth opportunity for someone who is eager to learn, comfortable working in a fast-paced environment, and willing to help wherever needed.

Primary ResponsibilitiesParts Ordering and Vendor Coordination

  • Order parts for incoming and active customer jobs.
  • Confirm part numbers, pricing, availability, and estimated delivery dates.
  • Verify that parts are correct for the vehicle, including VIN-specific parts when applicable.
  • Contact dealerships and vendors for quotes, schematics, and fitment confirmation.
  • Confirm whether part numbers have been updated or superseded.
  • Identify any required clips, bolts, brackets, seals, gaskets, or additional hardware.
  • Confirm core charges, warranties, and vendor return policies before ordering.
  • Obtain written quotes and document all approved purchases.
  • Track outstanding orders and follow up on delayed parts.
  • Communicate parts updates to production, management, and the back office.
  • Assist with resolving incorrect, damaged, missing, or delayed shipments.
  • Update purchase orders, work orders, and internal tracking systems.

Production Support

  • Assist production departments with daily operational needs.
  • Help organize parts, materials, tools, and supplies for active jobs.
  • Deliver parts and materials to the appropriate department.
  • Help prepare job materials before production begins.
  • Assist with checking incoming parts against purchase orders and work orders.
  • Label and organize parts by vehicle, customer, or job number.
  • Maintain clean and organized production and storage areas.
  • Assist with moving supplies, materials, and equipment when needed.
  • Support multiple departments with miscellaneous tasks and special projects.
  • Help identify missing parts or materials that could delay production.

Administrative and Job Tracking Support

  • Update work orders and job information accurately.
  • Enter parts, pricing, order status, and delivery information into company systems.
  • Maintain organized digital and physical records.
  • Assist with production status updates.
  • Communicate professionally with vendors, coworkers, and management.
  • Report delays, incorrect orders, or production concerns promptly.
  • Assist with shop and office supply ordering as assigned.
  • Complete local business errands when necessary.
  • Perform other duties as assigned based on operational needs.

Requirements

  • Strong organizational skills and attention to detail.

Preferred Qualifications

  • Previous automotive, warehouse, production, or parts-ordering experience.
  • Basic knowledge of automotive parts and vehicle components.
  • Experience working with dealerships, vendors, or parts suppliers.
  • Experience reading OEM diagrams or parts schematics.
  • Experience using Tekmetric, Airtable, QuickBooks, or similar systems.
  • Mechanical aptitude or an interest in automotive customization.
