Job description

Pioneer Contract Services is seeking a highly organized and detail-oriented Move-Add-Change (MAC) Coordinator to support facility operations for our clients. In this role, you will plan, schedule, and coordinate all MAC activities, ensuring the smooth relocation, installation, modification, and tracking of workplace assets such as furniture, equipment, devices, and facility infrastructure.

This position is ideal for someone who thrives in a fast-paced environment, communicates well with multiple teams, and enjoys coordinating facility-related projects from start to finish.

Key ResponsibilitiesMAC Planning & Coordination

  • Receive, review, and process MAC requests from clients and internal teams.
  • Develop MAC plans including scope, labor needs, materials, timelines, and sequencing.
  • Coordinate with facilities, operations, warehouse, and field technicians to schedule work.
  • Ensure all MAC activities follow Pioneer’s safety, quality, and operational standards.

Move Coordination

  • Oversee the relocation of equipment, devices, and furniture.
  • Ensure proper disconnecting, packing, labeling, transport, and reinstallation.
  • Maintain accurate move lists, floor plans, and asset tracking documentation.

Add Coordination

  • Coordinate installation of new hardware, equipment, or facility components.
  • Document new assets, serial numbers, locations, and configuration details.
  • Support infrastructure upgrades and workstation additions.

Change Coordination

  • Manage modifications to existing equipment, systems, or workspace layouts.
  • Coordinate reconfigurations, replacements, repairs, and system updates.
  • Update drawings, labels, and asset records as changes occur.

Communication & Client Support

  • Serve as the primary point of contact for MAC-related inquiries.
  • Provide schedules, updates, and completion confirmations to clients.
  • Communicate changes, delays, or issues promptly and professionally.

Documentation & Reporting

  • Maintain MAC logs, asset inventories, and work order records.
  • Update floor plans, seating charts, and equipment maps.
  • Track labor hours, materials, and costs for billing and reporting.
  • Provide weekly or monthly MAC activity reports to management.

Requirements

Do you have experience in Schedule management?, Do you have a Bachelor’s degree in business administration?, * Strong organizational and planning skills.

  • Ability to manage multiple tasks and deadlines.
  • Knowledge of facility operations, furniture systems, and equipment handling.
  • Excellent communication and customer service skills.
  • Ability to read and interpret floor plans, diagrams, and asset lists.
  • Proficiency with scheduling tools, spreadsheets, and work order systems.
  • High attention to detail and accuracy in documentation., * Bachelor’s degree in Facilities Management, Business Administration, Construction Management, Architecture, or a related field (preferred, not required).
  • 2+ years of experience in facilities coordination, MAC services, move management, or related field.
  • Experience with commercial furniture systems (HON, Herman Miller, Steelcase, etc.).
  • Familiarity with CAFM or asset management software.
  • Experience updating AutoCAD drawings, P-Line drawings, and space planning documents.
  • Experience performing building audits and generating occupancy/space reports.

Physical Requirements

  • Ability to walk job sites, warehouses, and office environments.
  • Ability to lift or move items up to 25 lbs occasionally (coordination role, not labor).
  • Ability to observe and verify work performed by field technicians.

Work Environment

  • Primarily office-based with regular visits to client sites and warehouse areas.
  • Fast-paced environment with frequent coordination between multiple teams.
  • Occasional early morning, evening, or weekend work depending on client schedules.
