Job description
This role is paramount to maintaining service delivery and supporting hospital discharge within Adult Services. The Senior Business Support Officer will provide high-quality business support to the LIFE service, supporting data capture and management, LIFE referrals and Patienteer, as well as providing operational support around changes to the D2A process.
The role will help improve data quality and ensure efficient processes to enable robust, integrated and person-centred services across the whole system., * Monitor and update the LIFE service mailbox, ensuring urgent emails are actioned daily.
- Update the LIFE Tracker with information received into the LIFE mailbox in a timely and accurate manner.
- Ensure managers and senior staff are alerted to urgent issues.
- Monitor packages of care on the LIFE Tracker and send reminders when cases reach four weeks to ensure reviews are completed.
- Deal with queries and data requests linked to the LIFE inbox and LIFE Tracker.
- Support data capture and management of LIFE referrals and Patienteer.
- Provide operational support around changes to the D2A process.
- Provide guidance and support to LIFE staff and Business Support Officers.
- Provide advice and support to Business Support Officers and induct new staff.
- Delegate work and deputise for the Team Leader when requested.
- Provide customer support by responding to queries by telephone and email.
- Handle and process electronic enquiries and incoming documentation.
- Prepare standard documents, template letters and reports.
- Provide meeting support, including the accurate recording of statutory meetings.
- Provide expertise, support and task supervision to Business Support Officers.
- Ensure data and documents are stored correctly in line with service requirements and information management legislation.
- Process payments in accordance with corporate financial policies.
Requirements
- Knowledge of administration systems and procedures.
- Significant experience and competence using IT systems and common business support systems, particularly Excel spreadsheets.
- Experience working in an office environment.
- Significant experience providing a customer-focused service.
- Ability to manage and update Excel spreadsheets.
- Ability to prioritise workload and meet deadlines within a fast-changing environment.
- Excellent written and verbal communication skills.
- Good numeracy and English literacy skills.
- Ability to analyse complex data.
- Strong administrative and organisational skills.
- Ability to use a range of ICT applications effectively, including MS Office and MS Teams.
