Data and Systems Specialist

We are looking for a Data and Systems Specialist to support the implementation, maintenance and ongoing development of Total Mobile within our Social Infrastructure business.

Working closely with operational teams, Resident Liaison Officers, administration teams and management, you will help ensure Total Mobile supports day-to-day delivery, captures accurate information and provides reliable programme and performance reporting.

Your primary focus will be Total Mobile, including system configuration, data quality, workflows, user support and training. You will work with internal systems teams and Total Mobile’s technical support team to translate operational requirements into practical system improvements., * Support the implementation and effective day-to-day use of Total Mobile across Social Infrastructure.

• Act as the divisional point of contact for Total Mobile queries, investigating issues and coordinating resolutions with the relevant internal teams and supplier.
• Maintain and develop workflows, forms, templates and system settings in line with agreed operational requirements and change-control procedures.
• Support the transfer and validation of information from existing systems and trackers into Total Mobile.
• Maintain data accuracy and consistency across property, resident, order, appointment and programme records.
• Work with operational and Customer Experience teams to ensure the system supports resident communication, access arrangements, delivery, completion and aftercare.
• Coordinate user and subcontractor access in line with agreed permissions and company procedures.
• Support and develop a network of super users who can provide day-to-day assistance within their teams.
• Deliver practical user guidance and training, maintaining clear process maps, instructions and supporting materials.
• Coordinate testing of new workflows, enhancements and releases with relevant users before implementation.
• Maintain a record of system queries, development requests and agreed actions, tracking progress through to completion.
• Validate dashboards and reports against underlying data and provide agreed performance information to operational leads.
• Work with reporting and technical teams on Power BI dashboards and integrations where required to support Total Mobile.
• Promote appropriate handling of resident and business information in accordance with company data protection and information security procedures.
• Visit offices and operational sites to understand user requirements and support consistent working practices.

This is an experienced role requiring strong IT skills, initiative and a practical approach to problem-solving. You will need to work independently, take ownership of tasks and recognise when to involve technical specialists or escalate issues., * Experience supporting, administering or implementing an operational or work management system.

• Strong IT skills, including proficiency in Microsoft Excel and confidence working with datasets.
• Experience checking data quality, investigating discrepancies and maintaining accurate records.
• Strong analytical and problem-solving skills, with the ability to take ownership of issues and follow actions through.
• Ability to understand operational processes and translate them into clear system requirements.
• Clear communication skills and confidence explaining technical information to colleagues with different levels of system knowledge.
• Experience producing process documents, user guidance or training materials.
• Strong organisational skills and the ability to manage competing priorities.
• Ability to work independently and collaboratively with operational teams, technical specialists and external suppliers.
• A full UK driving licence and willingness to travel across London and the surrounding counties.

Desirable

• Experience within social housing, planned works, construction or property services.
• Knowledge of resident liaison and operational delivery processes.
• Experience supporting system migrations, user acceptance testing and change management.
• Experience using Power BI or SQL for reporting and data analysis.
• Understanding of system integrations, APIs and XML or JSON data formats.
