Job description

The Technical Data & Admin Support role provides day-to-day administrative and data support across the Technical Team.

The role supports three areas:

  • Product Assurance
  • Ethical & Supply Chain Assurance
  • Sustainability

The main purpose of the role is to help keep information, documents, trackers and internal systems accurate and up to date.

You will collect information, update records, upload and file documents, follow up missing information and highlight anything that is overdue, incomplete or unclear., 1. Product Assurance Support

Support the Product Assurance team with routine administration, including:

  • Create and update technical workbooks using agreed templates.
  • Enter and update product information on internal systems and trackers.
  • Upload and file test reports, certificates and other product documents.
  • Support Red Seal and Gold Seal administration.
  • Keep testing, approval and workbook trackers up to date.
  • Check whether required documents have been received.
  • Monitor expiry dates and highlight missing or expired documents.
  • Keep product records organised and stored in the correct location.
  1. Ethical & Supply Chain Assurance Support

Support the Ethical & Supply Chain Assurance team with supplier and factory administration, including:

  • Maintain supplier and factory records.
  • Upload and file audit reports, corrective action plans and supporting documents.
  • Update trackers with audit and supplier information.
  • Follow up suppliers for routine information and evidence.
  1. Sustainability Support

Support the Sustainability team with routine data collection and administration, including:

  • Collect sustainability, materials and packaging information from suppliers.
  • Enter and maintain information on trackers and internal systems.
  • Upload and file supporting documents and evidence.
  • Help prepare data for customer and third-party submissions.
  • Follow up suppliers for missing or unclear information.
  • Check that required information has been provided and highlight obvious gaps.
  • Support routine customer requests relating to packaging and material information.
  • Liaise with suppliers to ensure factory-level sustainability reporting is submitted and verified in a timely manner.

Across all three areas, the role will be responsible for keeping records and trackers up to date, filing documents correctly, following up outstanding information and highlighting missing or overdue items to the relevant team member.

Requirements

No previous experience in Technical, Responsible Sourcing or Sustainability is required. Full training will be provided., * Is organised and able to keep track of different tasks.

  • Has good attention to detail.
  • Is comfortable using computers and entering data accurately.
  • Has basic knowledge of Excel or similar spreadsheets.
  • Is able to follow clear processes and instructions.
  • Can organise their workload and complete tasks by agreed deadlines.
  • Is comfortable contacting suppliers and colleagues to ask for information.
  • Can recognise when information is missing, expired or does not appear complete.
  • Has clear written communication skills.
  • Is willing to learn new systems and processes.

Previous experience within Technical, Responsible Sourcing, Sustainability or product compliance is not required.

Training will be provided on our systems, processes and the technical terminology used within the department.
