Job description

The Senior Systems Analyst plays a pivotal role in supporting the efficient functioning of the legal department by managing our bespoke technology platforms, overseeing invoice and budget processes, facilitating training, and ensuring compliance. This role acts as a key liaison between legal teams, external law firms, and internal business units, ensuring seamless integration of systems and processes., * Manage the invoicing process for our panel firm spend, including first line approval of invoices, approving rates in accordance with our agreed rates cards, ensuring process flow including that other approvers and payments team process on time

  • Collate our panel firm commercial information including rebates calculations, collation of data from the firms on other "value adds" given by the firms, ensuring continued accuracy of our spend dashboards and evolution or report production to support additional spend views requested
  • Lead quarterly relationship management calls with law firms and internal teams to promote effective collaboration, strengthen professional relationships, and proactively address operational challenges in particular any issues with the billing process.
  • Develop processes within the team to improve efficiencies; identify areas of inefficiencies and strategically analyse ways to improve, such as cost savings, trends, poor data etc.
  • Support, manage and develop our bespoke legal systems - Legal Tracker (spend management), HighQ (document management and business facing portals), Harvey (AI) and Persuit (mini tender tool). Having the appropriate knowledge to assist the team with using the systems, the ability to troubleshoot issues and to develop the build (training can be provided for this).
  • Working with the Risk Management team to complete and submit our regulatory compliance reports.
  • Manage queries from both internal and external interfaces.

Requirements

Do you have experience in Communication skills?, * Analytical insight for reporting, dashboard creation, and data interpretation and ability to conduct spend analysis and calculations.

  • High attention to detail and a proactive, solutions-oriented approach.
  • Ability or a keen interest and aptitude for learning how to develop our bespoke systems to stakeholder needs (eg creating simple business facing pages), trial and support the launch of new features and troubleshoot problems.
  • Good interpersonal, influencing and communication skills to ensure effective engagement with all relevant stakeholders.
  • Ability to work collaboratively within multidisciplinary teams and business entities to support delivery.
  • Ability to deliver training and support on our systems to small groups of stakeholders
