Job description
Tilbury Douglas is seeking a Senior Document Controller to lead and oversee document management across multiple projects. You will ensure that project information is managed accurately, securely, and efficiently while mentoring junior document controllers and driving improvements in document control processes. This is a key role, providing expertise and guidance to project teams to ensure compliance with industry standards and best practices.
What you'll be doing
- Lead the production and approval of project Information Standards, Methods, and Procedures.
- Oversee the administration and management of project collaboration tools, ensuring teams are trained and fully supported.
- Guide design teams to manage information distribution, approval cycles, and comment tracking to meet project deadlines.
- Conduct QA checks on all published documentation to ensure compliance with project procedures.
- Resolve complex drawing and document queries, providing guidance to project teams and external stakeholders.
- Manage the receipt, checking, and distribution of documents according to project procedures and distribution matrices.
- Provide support and training to project users, internal and external, including mentoring junior document controllers.
- Liaise with software vendors regarding collaboration tool issues and system improvements.
- Produce project reports and dashboards to meet internal and client requirements.
- Coordinate and record project collaboration tool training, including setup and protocols for Field app usage.
- Ensure document and drawing numbering systems comply with British and international standards (ISO19650).
- Support technical queries, IMS processes, and document handover procedures, including collation of O&Ms.
- Attend project meetings (e.g., DTM) to provide document control expertise and insights.
- Identify opportunities to improve document management processes across projects.
Requirements
- 5+ years' document control experience, ideally in construction or government projects.
- Strong expertise in QMS, digital handover, and EDM systems (Asite/Viewpoint preferred).
- Skilled in Excel, PDF editing, mobile devices, and collaboration tools.
- Experience with process mapping, resource management, and technical workflows.
- Highly organised, methodical, detail-focused, and able to prioritise under pressure.
- Excellent communication, collaboration, and leadership skills; proactive and reliable.
- Ability to mentor junior staff and provide strategic guidance to project teams.
