Job description
Are you highly organised, detail-driven and experienced in document control within a construction environment? Hays are working with a Tier 1 contractor in Bristol, looking for a proactive and experienced Document Controller / Site Secretary to support a busy site team and ensure smooth, compliant, and efficient management of all projects., As the Document Controller / Site Secretary, you will play a key administrative and technical support role within the project team. You'll manage all project documentation, maintain accurate records, ensure compliance with company and project standards, and provide vital administrative support to keep the site running efficiently., * Manage the intake, scanning, verification and distribution of project documents, drawings and correspondence.
- Maintain the Document Management System, ensuring accurate filing, version control and accessibility.
- Track and distribute updated drawings, specifications and technical information to engineers, subcontractors and site teams.
- Ensure all documentation meets compliance, QA and project standards.
- File, archive and securely store sensitive or confidential information.
- Retrieve documents and records when required by project managers and wider site personnel.
- Prepare meeting agendas, take minutes and circulate documentation.
- Manage site registers, including visitors, inductions, permits and deliveries.
- Provide general administrative support-printing, scanning, correspondence and maintaining office supplies.
- Support onboarding of subcontractors and new staff with documentation and site forms.
Requirements
- Experience in document control or site administration within construction.
- Strong understanding of document management processes and systems (e.g., SharePoint, Viewpoint, Aconex preferred but not essential).
- Excellent organisational skills and attention to detail.
- Confident communicator with the ability to work with multiple departments and stakeholders.
- Proficient in Microsoft Office and comfortable handling high volumes of documents.
- Able to work independently, prioritise workload and meet deadlines in a fast-paced environment.
