Job description

Role Overview - We are seeking an experienced and highly organised Document Controller to join our team in the Edinburgh office. Working within a civil engineering environment, this role is essential to the successful delivery of live projects and the smooth operation of multidisciplinary project teams.

You will be responsible for managing complex document workflows, maintaining rigorous version control, and ensuring all project documentation complies with internal standards, client requirements, and industry regulations. This role requires someone who can confidently coordinate across teams, safeguard documentation integrity, and support continuous compliance with QA and ISO procedures., Document Management

  • Provide document control support across multiple concurrent civil engineering projects.
  • Manage and maintain both electronic and hard-copy document control systems.
  • Upload, issue, track, and archive all project documentation.
  • Maintain accurate document registers, ensuring full version control at all times.
  • Ensure all documents meet company, client, and project-specific quality and formatting requirements.

Technical Document Coordination

  • Control the distribution of drawings, specifications, reports, and other technical documentation.
  • Ensure timely circulation of documents to internal teams, subcontractors, consultants, and clients.
  • Track document submissions and approvals to support project programme requirements.

Compliance & Quality Assurance

  • Assist with internal and external audits, supporting ongoing compliance with QA and ISO standards.
  • Follow established document control procedures and contribute to process improvements.
  • Ensure documentation workflows align with project management and industry best practice.

Stakeholder Support & Communication

  • Liaise confidently with project managers, engineers, subcontractors, and clients.
  • Provide guidance to project teams on document control procedures and systems.
  • Support senior project staff by ensuring documentation is accurate, accessible, and up to date.

Requirements

Do you have experience in SharePoint?, * Proven experience as a Document Controller, ideally within the construction or engineering sector.

  • Ability to work independently on live projects while managing competing priorities.
  • Strong understanding of document control processes, workflows, and best practice.
  • Experience using document management systems (e.g., Viewpoint, Projectwise, ACC, SharePoint, or similar).
  • Excellent organisational skills with exceptional attention to detail.
  • Strong IT proficiency, including Microsoft Office.

Desirable

  • Experience working on large-scale or multi-site civil engineering or construction projects.
  • Knowledge of ISO 9001 quality standards and QA processes.
