Job description

Working closely with engineers, project managers, commercial teams, and external stakeholders, the Document Controller will ensure that all technical drawings, specifications, reports, and contractual documentation are correctly issued, recorded, and archived in accordance with company and client standards., Document Management & Control

  • Maintain and manage electronic and hard copy document control systems.

  • Register, log, and track incoming and outgoing project documentation.

  • Ensure correct version control and revision management of drawings and technical documents.

  • Distribute documents to relevant internal and external stakeholders in a timely manner.

  • Maintain document numbering systems in line with company and client protocols. Engineering & Technical Documentation

  • Control the issuance of design drawings, specifications, calculations, and technical reports.

  • Liaise with design engineers to ensure documentation is reviewed, approved, and issued in accordance with project procedures.

  • Monitor document submission schedules and ensure deadlines are met.

  • Maintain accurate transmittal records and audit trails. Compliance & Quality Assurance

  • Ensure documentation complies with ISO standards and company quality management systems.

  • Support internal and external audits by providing document traceability.

  • Maintain confidentiality and data protection standards across all records.

  • Assist in maintaining project document control procedures and workflows. Project Support

  • Support project teams with document retrieval and reporting.

  • Assist in preparing project handover documentation.

  • Coordinate with clients and subcontractors regarding document submissions.

  • Provide administrative support where required within the project environment.

Requirements

  • Previous experience in a Document Controller or similar administrative role (ideally within engineering, construction, or technical consultancy).

  • Strong understanding of document control principles, including revision control and audit trails.

  • Proficient in Microsoft Office (Word, Excel, Outlook).

  • High level of organisational skills and attention to detail.

  • Ability to manage multiple projects and deadlines simultaneously.

  • Strong written and verbal communication skills. Desirable

  • Experience using document management systems (e.g., Viewpoint, Aconex, Asite, SharePoint or similar).

  • Familiarity with engineering drawings and technical documentation.

  • Knowledge of ISO 9001 quality management systems.

  • Experience working within a design engineering or consultancy environment., Over 20 years' experience working with candidates to find their next role in Manufacturing & Engineering and Technical & Design roles.
